About the Position

The Accounts Payable Specialist will perform daily processing of vendor invoices, expense reimbursements, and firm credit card activity. This position is currently a hybrid role.

Essential Duties and Responsibilities

  1. Data entry of vendor invoices and employee expense reimbursements into Aderant and Chrome River (aka Emburse), ensuring timeliness and accuracy in amounts, proper account coding and categorization.
  2. Review vendor invoices and process high-volume employee expense reimbursement requests for proper documentation, approval and compliance with firm policies prior to payment.
  3. Review and process attorney county and state bar dues, ensuring payments are made in compliance with state, county and other relevant regulatory requirements.
  4. Review and process client refunds and process and manage payments out of clients trust account, ensuring proper handling of funds in accordance with legal and firm regulations.
  5. Ensure firm credit card transactions are documented and processed accurately. Ensure that all credit card usage adheres to the firm’s established policies and guidelines. Investigate and resolve any unauthorized charges.
  6. Ensure all payments are made in accordance with firm policy and are issued in a timely manner, including printing and distributing checks, ACH transfers and other payment methods.
  7. Provide excellent customer service by responding promptly and professionally to inquiries from vendors and other firm personnel regarding payments, invoicing, and documentation.
  8. Investigate and resolve payment discrepancies and disputes on behalf of the firm, working directly with vendors and internal stakeholders to address issues.
  9. Maintain organized and thorough records of all accounts payable transactions and supporting documentation in compliance with firm policy and generally accepted accounting practices.
  10. Assist billers with client-related requests for back-up documentation for billing purposes, ensuring accuracy and timely delivery of requested information.
  11. Aid in the processing and issuance of IRS Form 1099 for vendors in accordance with applicable tax laws.
  12. Assist with month-end and year-end closing processes, including reconciling accounts payable entries, preparing reports for management and process improvements.
  13. Provide guidance and support to employees on expense reimbursement submission in Chrome River and credit card usage, helping them understand the firm’s policies and procedures.
  14. Perform other various tasks and related special projects as needed.

Qualifications

  1. Excellent attention to detail and an analytical mind-set.

  3. Self-starter, quick learner and good listener.
  4. Ability to work well in a team atmosphere and independently with minimal direction.
  5. Ability to meet deadlines with flexibility to work with unexpected changes.
  6. Ability to multi-task and prioritize work in a fast-paced environment.
  7. Strong problem-solving skills, research and resolution skills and data analysis.

Education and/or Experience

  1. Associates degree in business or accounting preferred.
  2. 5+ years accounts payable experience, preferably in legal industry is a plus.
  3. Proficient in Microsoft Office (Excel, Outlook, Word).
  4. Experience in Aderant Expert and Chrome River (aka Emburse) a plus.

Compensation

Allen Matkins is an Equal Opportunity Employer and offers a competitive compensation & benefits package. The anticipated base salary range for this full-time role is $70,000 - $85,000 per year. Actual salary will depend upon a number of factors, including, but not limited to, relevant experience, job-related skills, qualifications, and location.
