Working closely with the Director of Accounting, the Accounts Payable Supervisor is responsible for the daily operations of the Accounts Payable department, including accurate and timely processing of invoices, vendor/employee communications, managing the weekly check run, managing staff (1), preparing account reconciliations, and addressing inquiries as they arise.

In this role, you will be a significant part of the Accounts Payable (AP) team (2 people total) as well as the Fiscal department.


  • Ensure efficiency, quality and accuracy of Accounts Payable functions and operations, including vendor lists, invoice processing, and internal/external communications.
  • Supervise the Accounts Payable staff, which includes providing mentorship, developing skills, and ensuring training of all systems and processes.
  • Working with Director of Accounting, manage weekly check runs based on organizational needs and cash flow management.
  • Process purchase order invoices, non-purchase order invoices, and miscellaneous expense vouchers. Maintain integrity of the vendor master file by ensuring accuracy of data including vendor information, dollar value of invoices, and account numbers. Document any vendor discrepancies and bring to the attention of supervisor(s).
  • Respond to internal and external inquiries regarding invoices via incoming and outgoing phone calls, mail, faxes, and e-mail. Escalate issues as necessary to Director of Accounting and/or Controller.
  • Manage Accounts Payable e-mail inbox, vendor inquiries, and communications.
  • Manage corporate vendor accounts including, but not limited to: American Express and Federal Express.
  • Manage all functions of the month-end close including reconciliations of accounts payable, purchase order received not invoiced accounts, and suspense accounts. Resolve any variances discovered by the following monthly close.
  • Work with the Director of Accounting to identify control weakness in the accounts payable function and document best practices.
  • Manage vendor statements and requests; work with Purchasing Agent to resolve discrepancies on purchase orders / invoices and following up on any action items.
  • During the month-end close, work with the Senior Staff Accountant to determine vendor invoices that should be accrued or prepaid for the preceding month.
  • Assist with tax reporting, including the collection of W8/W9 forms and the preparation of the 1099/96 and 1042S/T filings.
  • Other duties as assigned.

Our ideal candidate will possess these Qualifications:

  • Associate’s degree in Accounting/Finance required; Bachelor’s degree preferred
  • Minimum 4 years of progressive experience in the accounts payable function
  • Supervisory experience is preferred
  • Experience in healthcare/hospital finance environment (non-profit experience preferred)
  • Proficient in Microsoft Office Suite applications
  • Lawson software experience is a plus
  • Understanding of GAAP accounting
  • Must be detail oriented, with the ability to plan, organize, and execute multiple responsibilities – through completion
  • Ability to produce high quality, accurate work against weekly and/or daily deadlines with little direct supervision and numerous interruptions is required
  • Maintain confidentiality of all accounts payable records
  • Strong interpersonal and customer service skills – able to interact with staff and vendors in a professional manner
  • Strong verbal and written communication skills
