Description

The City of Friendswood is currently accepting applications for an Administrative Assistant to Director in the Fire Marshal's Office / Office of Emergency Management.

The Fire Marshal's Office / Office of Emergency Management (FMO/OEM) leads the City's fire prevention efforts, emergency management planning and operations, and numerous grants and contracts related to prevention, protection, response, mitigation, and recovery operations. In addition, the FMO/OEM manages the fire suppression and emergency medical services contracts for the City.

Purpose of the Job

To assist the Director in providing an effective and efficient operation of day-to-day activities within the Fire Marshal's Office / Office of Emergency Management in accordance with the guidelines, policies, and appropriations established by City Council, the City Charter, and the Department.

Principal Duties and Responsibilities

  • Manages the Department by establishing work procedures, schedules, and standards for the department.
  • Answers phones and emails, receives and distributes mail, and receives visitors and City staff.
  • Facilitates Council Meeting Agenda Items for the Department.
  • Drafts, edits, proofreads, and types internal and external correspondence, including memos, letters, outlines, presentations, and speeches and other routine correspondence.
  • Serves as the records management coordinator for the Department.
  • Serves as a purchasing agent for the Department.
  • Serves as a budget officer for the Department.
  • Creates monthly and annual reports and publications.
  • Performs other duties as assigned.

Education and Experience

Minimum Education and Experience Required to Perform the Job:

  1. A college degree (non-technical discipline),
  2. Multi-craft skills acquired through extensive on-the-job training or apprenticeship programs, or
  3. In-depth industry and job-specific technical skills acquired through a combination of formal instruction and on-the-job training.

And:

Seven years progressively responsive, responsible administrative and secretarial experience, and experience developing, applying, and interpreting policies and procedures.

And:

Experience working in local government, especially the public safety disciplines (emergency management, emergency medical services, fire, or police).

Skills, Knowledge, and Abilities

  • Advanced skills in Microsoft 365 applications including: Outlook, Word, Excel, PowerPoint, Publisher and Teams.
  • Proficient in Tyler Technologies Incode.
  • Proficient in Firehouse Software and/or ESO Fire.
  • Texas Driver's License. While employed with the city, driving record must meet minimum standards of personnel policy.
  • Federal Emergency Management Association (FEMA) IS- 100, 200, 700, 800 certificates.

This position will require 24-hour availability during emergency conditions.
