Job Description:

The Assistant to the Executive Director directly supports the Executive Director and works closely with the Associate Director and Department Directors of BWell Health Promotion, Counseling and Psychological Services, Emergency Medical Services, Health Services and Student Accessibility Services on high-level strategic initiative planning and implementation.  The position is an advisor and critical member of the executive leadership team in the Health and Wellness Department and serves as a strong facilitator and liaison with the department and Campus Life. The Assistant to the Executive Director supports the Executive Director across all activities and ensures there is follow through on all initiatives and agendas.  The position also works closely with all staff in the Health and Wellness departments to enhance ongoing development of partnership opportunities and strategic management of external relationships. Other responsibilities include project management, event planning and building management.

This position will require flexible hours including occasional evenings and weekends in conjunction with the Executive Director’s schedule and commitments.

Qualifications:

Education

  • Bachelor’s degree or equivalent years of education, skills and experience

Experience

  • 5+ years of progressively responsible high-level executive planning and support experience required, preferably in higher education, healthcare, or executive setting.
  • Experience in project management, executive level strategic planning, and communication.
  • Experience working in a large, fast paced, diverse, and inclusive work setting.

Job Competencies

  • Excellent computer proficiency, including Zoom, Google Suite of collaborative tools, Microsoft Office, Excel, Word, Powerpoint, Workday; scheduling software (Google preferred); Adobe Professional and other database systems.
  • Strong analytical and problem-solving skills for identifying needs, conducting research and developing innovative proposals, solutions and programs.
  • Strong organizational skills.
  • Excellent interpersonal skills for effectively dealing with a broad range of diverse individuals regardless of age, gender, race, ethnicity, religion, or levels within an organization.
  • Ability to comfortably and often serve as the first point of contact for the Executive Director and the institution.
  • Strong project-management and office management skills to facilitate timely and professional deliverables.
  • Demonstrated social media skills and a willingness to learn new software and tools.
  • Proven written communication and editing skills for preparing correspondence, documents, reports and executive level correspondences, utilizing correct spelling, grammar, and punctuation.
  • Sensitivity to students and other constituents with varying and intersectional identities.
  • Ability to react quickly and shift priorities when needed.
  • Ability to accommodate some work schedule flexibility.
  • Administrative expertise with abilities to set priorities, organize and coordinate on office operation, anticipate needs, work under the pressure of deadlines and exercise good judgment, particularly with sensitive or confidential matters
  • Strong self-motivation skills for independently establishing effective working relationships with various organizations and staff at all levels of the organization and demonstrated ability to work as a member and leader of a team
  • Experience creating complex domestic and international travel arrangements and itineraries and submit timely, accurate expense reports.
