Description:

Job Title: Document Controller for Real Estate/Construction
Location: Dallas, TX
Job Type: Hourly Consultant
Hours: 8 am to 5 pm, M-F
Pay: Up to $27.84/hr

 

This position will support ongoing construction projects documentation records

 

Essential Functions:

  • Manage and maintain engineering drawings, project reports, specifications, proposals, and related documentation across multiple real estate construction projects
  • Support on-site and off-site project teams involved in design, construction, and integration of capital projects
  • Ensure all design and construction deliverables meet established document control standards and submission requirements throughout the project lifecycle
  • Maintain document integrity by ensuring files are properly indexed, searchable, and aligned with required metadata standards
  • Audit and reconcile project documentation to ensure completeness, accuracy, and compliance for multiple high-profile initiatives
  • Track project phases and proactively support documentation needs aligned with project timelines
  • Identify, resolve, and escalate issues related to missed deliverables or non-compliance with document control standards
  • Coordinate with off-site support teams to execute special documentation initiatives
  • Generate reports on documentation quality, volume, and performance using tracking logs and control tools
  • Validate and manage project closeout documentation for transition into facilities management systems
  • Administer cloud-based electronic document management systems, including forms, workflows, and support requests
  • Manage system access, permissions, and version control to mitigate risks associated with project changes
  • Continuously improve documentation processes and workflows within the document management system
  • Provide guidance and advisory support to stakeholders on document standards, governance, and best practices

Skills:

  • Strong proficiency in electronic document management systems and document control methodologies
  • Advanced skills in Microsoft Office Suite, particularly Word and Excel
  • Familiarity with tools such as Constructware, Procore, Primavera, PMWeb, Newforma, Aconex, Asite, OpenText, or Laserfiche
  • Excellent organizational, analytical, and problem-solving abilities
  • Strong attention to detail and data accuracy
  • Effective communication and stakeholder coordination skills
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment

Experience:

  • Minimum of 5 years of document control, project administration, or related experience
  • Experience supporting design, construction, architecture, real estate development, or facilities management projects
  • Background in document management, system administration, or data governance
  • Experience working with cross-functional teams in both on-site and remote environments
  • Exposure to AutoCAD and BIM tools is preferred

Education:

  • Bachelor’s degree in Business Administration, Information Management, Construction Management, or a related field preferred
  • Equivalent work experience may be considered in lieu of formal education

Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.
