The Executive Assistant will proactively handle a wide range of executive support-related tasks for the Chief Human Resources Officer (CHRO) and Chief Technology Officer (CTO). The ability to interact with team members (at all levels) in a fast-paced environment, under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.
This role is located in the Store Support Office and will be in office Monday – Thursday every week. There may be some Friday in office work required depending on business needs.

Essential Functions:- Act as the primary point of contact for internal constituencies on all matters pertaining to the offices of the CHRO and CTO.
- Communicate cross-functionally, and work collaboratively with other Executive Assistants, as an ambassador for the CHRO and CTO.
- Schedule and manage calendars including prioritizing and resolving related conflicts and competing demands, proactively scheduling important meetings with internal and external partners, with a sense of urgency and the utmost confidentiality.
- Provide daily executive administrative support to the CHRO and CTO including answering phones, drafting and responding to emails, creating and organizing meeting materials, handling vendor inquiries.
- Manage and communicate commitments with limited direction.
- Arrange travel, including travel itineraries, meeting agendas, materials for meeting, airline, hotel and ground transportation, coordinate dinners with key vendors and partners.
- Produce a variety of reports used to track key metrics and other important data; develop Power Point presentations and other materials for use in board meetings and executive sessions. Support onsite events and team meetings acting as a project manager to ensure seamless room set up, materials, catering and other related activities.
- Prepare expense reports and process invoices within the financial system.
- Ensure CHRO and CTO are prepped and prepared for all meetings and support debrief and follow up action item collection and execution.
- Perform other duties or projects as required or assigned.

- Bachelor's degree or equivalent education and experience required
- Previous administrative experience supporting an executive in a 1-1 partnership at a high-growth organization
- Proficient in Microsoft Office Suite; experience in Workday and Sharepoint preferred
- Be an adept anticipator. Use experience to anticipate and overcome stumbling blocks before they happen
- Should possess strong problem-solving skills; should feel comfortable and confident to make some key decisions on behalf of the Executives
- Has the desire and curiosity to understand and learn about the SFM business
- Ability to deal with ambiguity, change and a dynamic business environment
- Strong verbal and written communication skills, analytical and decision-making skills, and ability to work on cross-functional teams
- Ability to operate with full confidentiality
- Positive attitude and the ability to work with a sense of urgency

- Proven decision-making capabilities
- Preferred- Prior retail or industry experience in a public company setting is a plus
- Preferred- Ability to write strategic documents, namely decks and briefs
- Preferred- Some project management experience handling smaller department projects
- Preferred- Ability to develop a clear team agenda and work with stakeholders to pull together content and assets for the meeting. Coordinate ongoing agenda topics like celebration events, anniversaries, awards and recognition
