The Fleet and Facilities Manager is a dual role. The ideal candidate will plan, organize, and manage the operation of our fleet vehicles and building maintenance while ensuring facilities are safe, clean, and maintaining adequate infrastructures among other duties.

Essential Duties and Responsibilities:

  1. Delegating cleaning and maintenance tasks to team members.
  2. Analyzing daily operation metrics including parts requisition/purchase orders, work order completion, warranty recovery, damage, preventive maintenance, and time and attendance.
  3. Monitoring the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots, and outdoor spaces.
  4. Performing routine maintenance on offices and making repairs as needed.
  5. Providing effective and timely oversight of all non-construction Facilities Projects.
  6. Scheduling routine inspections and emergency repairs with outside vendors.
  7. Ensuring proper security measures for the workplace, including collaborating with security system vendors or a team of security professionals.
  8. Maintaining day-to-day operations of offices, such as delegating or completing maintenance orders.
  9. Creating reports on maintenance, repairs, safety, and other occurrences for supervisors and other relevant staff.
  10. Preparing facilities for extreme weather conditions.
  11. Collaborating with building owners and the executive team on budgeting for facilities needs.

Fleet Management Duties:

  1. Purchasing vehicles to expand and/or enhance the fleet.
  2. Scheduling regular maintenance on all vehicles.
  3. Ordering urgent or emergency repairs as needed.
  4. Establishing efficient routes and transportation schedules.
  5. Managing vehicle licensure and registration.
  6. Ensuring all HMD members have proper licensure and up-to-date training.
  7. Monitoring Drivers to ensure adherence to schedules and proper driving practices.
  8. Providing training for new Drivers.
  9. Providing reports to management on budgeting, schedules, maintenance, and fleet progress.
  10. Developing methods to decrease costs and improve efficiency.
  11. Performing other duties and responsibilities as assigned.

Computer Equipment & Software Skill Requirements:

  1. Full knowledge of Windows Office Suite; particularly Microsoft Word and Excel.
