About California Builder Services
California Builder Services (CBS) helps homebuilders and land developers move residential subdivisions through one of the country's most complex regulatory processes: approval by the California Department of Real Estate (DRE). We process a high volume of DRE filings each year, from condo conversions to large master-planned communities, and our work directly determines when our clients can begin marketing and selling homes.
About the Role
The Project Assistant role is the entry point into our DRE processing team. You'll work alongside Project Managers on active subdivision filings, learning the regulatory framework from the inside while taking ownership of the documentation, research, and coordination that keeps projects moving.
Every senior person on our team (Project Managers, Reserve Analysts, Department Managers) started in this role. We hire this position to grow into the next one.
What You'll Do
· Serve as a point of contact between developers, municipal governments, utility companies, and state agencies. You're the person these stakeholders email and call.
· Conduct property and regulatory research to identify project requirements and risks before they become problems.
· Own project documentation. Ensure our filing systems (physical and digital) are accurate, current, and accessible because you keep them that way.
· Manage project timelines: maintain master inventory logs, track multiple deadlines, and coordinate reviews and follow-ups.
· Review technical documents, like maps, legal descriptions, development plans for compliance.
· Provide proactive support to Project Managers and contribute to team objectives daily.
Who We're Looking For
This is not a first job. We're looking for someone who has already worked somewhere they were genuinely relied on, where missing a deadline had consequences, where a dropped detail mattered, where a manager or client expected ownership rather than effort. The industry doesn't matter; the experience of being accountable to an organization does.
You probably have two or more years in a professional setting; administrative, operations, paralegal, escrow, title, construction admin, government, or similar. You're comfortable with Outlook, Word, and Excel. You can write a clean email and pick up the phone without GPT or rehearsing what you're going to say.
You're early enough in your career to want to learn this field from the ground up, and far enough along that you don't need someone to tell you to follow up on an open item.
Qualifications
· High school diploma required. Bachelor's degree in business administration, real estate, or construction management preferred.
· Two or more years in a professional environment where you held real responsibility.
· Working proficiency in Microsoft Word, Excel, and Outlook; comfort navigating online databases and search tools.
· Background in real estate, escrow, title, construction, engineering, or mapping is a plus, not a requirement.
