Overview

We are seeking a highly organized, proactive Project Coordinator to help keep our site/civil and environmental engineering projects on track. This person will work closely with our engineers, project managers, clients, and internal leadership to understand project priorities, deadlines, staffing needs, and client expectations—and then help translate that information into clear schedules, task plans, and accountability.

This role is ideal for someone who enjoys organizing complex information, creating efficient systems, tracking moving parts, and helping technical teams deliver high-quality work on time. Prior experience in project coordination or project management is preferred. Experience in engineering, architecture, construction, environmental consulting, or a related professional services field is a strong plus.

This role may be structured as either part-time or full-time, depending on the candidate's experience, availability, and fit. The key requirement is consistent availability to stay on top of project priorities, deadlines, workload planning, and client needs.

Key Responsibilities

  • Learn about our clients, their projects, their priorities, their deadlines, and what matters most to them.
  • Develop a strong working understanding of our site/civil and environmental engineering services, internal processes, and project delivery expectations.
  • Use Teamwork Projects to create, maintain, and update project schedules, task lists, milestones, dependencies, and Gantt charts.
  • Track who is working on what, what deadlines are coming up, and where priorities are shifting.
  • Attend project meetings, take meeting notes, and summarize and assign action steps.
  • Help project managers and team members understand upcoming deadlines, expected task durations, and current priorities.
  • Work with project managers to estimate how long tasks should take and communicate those expectations clearly to the team.
  • Monitor project progress and identify potential scheduling conflicts, bottlenecks, missed deadlines, or resource constraints before they become larger problems.
  • Help prioritize work across multiple projects based on client needs, internal capacity, deadlines, and project importance.
  • Assist with resource planning by helping determine how team members' time should be allocated across active projects.
  • Maintain accurate and current project information in Teamwork Projects.
  • Follow up with internal team members to keep tasks moving and ensure project information is updated.
  • Support client communication, as appropriate, by helping clarify schedules, deadlines, deliverables, and next steps.
  • Develop and improve internal project coordination processes to make project delivery more efficient, consistent, and transparent.


Qualifications

  • Prior experience in project coordination, project management, operations coordination, or a similar role preferred.
  • Experience in engineering, architecture, construction, land development, environmental consulting, or another technical professional services environment is preferred.
  • Experience using project management software required; experience with Teamwork Projects is a plus.
  • Ability to create and maintain Gantt charts, project schedules, task lists, milestones, and dependencies.
  • Strong organizational skills and the ability to manage many details across multiple projects at once.
  • Ability to understand shifting priorities and adjust plans accordingly.
  • Strong written and verbal communication skills.
  • Comfortable following up with team members and helping maintain communication.
  • Ability to communicate professionally with clients.
  • Strong systems thinking; enjoys creating processes, improving workflows, and making complex work easier to track.
  • Able to learn technical terminology, project phases, and engineering-related workflows.
  • Reliable, detail-oriented, proactive, and comfortable working independently.
  • Able to balance structure with flexibility in a fast-moving project environment.


Physical Requirements

  • Ability to work at a computer for extended periods of time.
  • Ability to communicate effectively by phone, video call, email, and in-person conversation.
  • Ability to read, review, and organize project information on a computer screen, including schedules, task lists, project documents, and client communications.
  • Ability to occasionally move around the office to coordinate with team members, attend meetings, or access project materials.
  • Ability to occasionally lift or carry light office materials, typically up to 15 pounds.
  • Ability to attend client meetings, site visits, or project-related meetings, as needed.
