Communications RFP and Proposal Specialist


Job Description

Careington is seeking a Communications RFP and Proposal Specialist to join its growing Corporate Communications team. In this role, you’ll support the Corporate Communicationsteam by helping to gather and organize responses to RFPs, RFIs, RFQs and sales-related proposals. This position includes frequent interactions with key stakeholders on various teams throughout the company to ensuretimely responses to bid opportunities and proposals. This position will play an integral role for the Corporate Communications team and will allow you to utilize and expand your writing skills while also exposing you to the diverse products and services Careington and its affiliate companies offer in the healthcare benefits market.  


About theCorporate CommunicationsTeam


The Corporate Communications team works under the direction of the Assistant Director of Corporate Communications. This dynamic team includes a Communications Review Manager andCommunications Review Specialists as well as a Social Strategy and ContentManager and a Social Media Specialist.The Corporate Communications team works closely with the Marketing team,and together, these teams create and develop all print and digital efforts for Careington, its affiliate companies and its clients and partners.


The Communications RFP and Proposal Specialist will perform the following duties:


What You’ll Do


  • Coordinate and respond to all RFPs, RFIs, RFQs and other similar opportunities
  • Work closely across teams todistribute assignments, gather answers to questions, refine responses and organize supporting material to meet critical deadlines for all bid opportunities
  • Respond to online or hard-copy RFP submissionsensuring all responses are wellorganized and delivered on time
  • Evaluate bid opportunities to ensure the company can deliver the requested products and services, which may entail asking key stakeholders for feedback
  • Identify meaningful ways to streamline the overall RFP process over time, in an effort to save time to result in a more efficient and effective RFP and proposal process
  • Ensure all RFPs and similar opportunities are tracked for relevant information and performance outcomes
  • Actively maintain a library/repository of department-approved RFP responses that are routinely reviewed, updated and enhanced, to save time for other departments and subject matter expertsutilizing the existing repository
  • Proactively identify and register for any and all relevant RFP, RFI and bid opportunities through all available channels, including city, county, school district and other local, state and federal opportunities
  • Create content for custom, high-level executive prospective client sales proposals as needed
  • Produce quality work in a fast-paced environment, meeting short-term and long-term deadlines in a consistent manner



What You’ll Have


  • Bachelor’s degree in Public Relations, Communications, Marketing, Journalism or related field
  • Strong command of writing and editing practices utilizing Associated Press Stylebook guidelines and preferred style
  • Superior attention to detail and organization skills
  • Excellent verbal and written communication skills
  • Detail-oriented and disciplined with the ability to multi-task and operate in a fast-paced environment
  • Experience with automated RFP and proposal management software like RFPIO or Qvidian a plus, but not required
  • Ability to prioritize projects
  • Ability to manage multiple projects simultaneously, keeping track of deadlines
  • Ability to work with cross-functional teams to help execute projects
  • Working knowledge of Microsoft Office, including Word, Excel and PowerPoint
  • Familiarity with Adobe Acrobat Pro a plus, but not required
