Position Summary:

Ogletree Deakins, an Am Law 100 law firm, seeks a Part-Time Coordinator to join the firm's RFP and Pitch Team in its Client Services Department. The RFP and Pitch Team submits hundreds of responses to requests for proposal (RFPs) and pitches per year.  

The Coordinator will provide administrative and operational support to the team, assisting with content and packet entry, conflicts checks, attorney outreach, biography updates, and pitch book compilation. This position requires interaction with Client Services colleagues, office administrators, practice assistants, the firm's attorneys, and other firm departments — thus, there is an emphasis on having a "customer-service" approach.  

This Coordinator must possess strong interpersonal and communication skills, both verbally and in writing. Candidates must also be detail-oriented and able to work as part of a highly collaborative team. Because we often work with confidential information, the candidate must understand the importance of being discreet and maintaining confidentiality.  

Essential Functions:

Attorney Biographies 

  • Update and maintain attorney biographies on an ongoing basis

Data & Administrative Support  

  • Enter and update information in the proposal tracker and maintain RFP and pitch files
  • Conduct outreach to attorneys  
  • Assist with searching for firm experience to include in proposals Help maintain marketing content and internal databases

Proposal Support 

  • Support the assembly of basic pitch books and presentation materials under the direction of senior team members
  • Proofread proposals, pitches, and other presentation materials
  • Assist with compiling and organizing attachments for proposals and pitches
  • Communicate with the team, attorneys, and other departments to help ensure proposal requirements and deadlines are met

Other  

  • Assist with additional tasks as needed in support of the broader team 
Requirements:
  • 1+ years of relevant experience in a law firm, professional services, or administrative setting 
  • Strong attention to detail and proofreading skills 
  • Strong written and oral communication skills, including the ability to professionally interact with attorneys and staff 
  • Proficiency in Microsoft Word, PowerPoint, and Teams 
  • Ability to multitask, meet deadlines, and adapt to shifting priorities 
  • Ability to conduct basic online research 
  • Familiarity with data entry and administrative processes 
  • Bachelor's degree preferred
