POSITION SUMMARY

The Lupus Foundation of America (LFA) is dedicated to improving the quality of life for all people affected by lupus through programs of research, education, and advocacy. As a member of the National Office, the Senior Accountant – Payables and Payroll will play a critical role in advancing the mission by assisting in carrying out the finance functions of the foundation that make a direct impact in the lives of those with lupus.

KEY RESPONSIBILITIES – Accounts Payable

  • Prepare, record, and process accounts payable by managing the Bill.com inbox, review invoice information entered in Bill.com and correct, and assign invoices for appropriate department approval and verify expense coding for accuracy.
  • Set-up new vendors in Bill.com, collect Form W-9 before payment is issued, record W-9 information accurately in Bill.com and maintain a filing system for all W-9’s.
  • Follow up on vendor inquiries and reconcile vendor statements monthly.
  • Reconcile the monthly credit cards statements by collecting receipts and expense coding from LFA employees and appropriate approvals for each charge through Bill.com Spend Expense software.
  • Process employee reimbursement requests and collect the appropriate approvals.
  • Keep CFO informed of invoices that have special payment requests.
  • Review AP aging in Bill.com and Intacct each month and address discrepancies.
  • Provide training and support to LFA staff members using Bill.com and Spend and Expense.
  • Maintain updates to the prepaid expense module and reconcile each month.
  • Maintain fixed assets schedule and post monthly entries.
  • Assist on monthly general ledger account reconciliations.
  • Assist in the preparation and updating of various account schedules and analyses as needed.
  • Assist on the posting of journal entries to the General Ledger as needed.
  • Make bank deposits through the bank application and at the bank branch.
  • Prepare the annual Form(s) 1099 verifications and year-end preparation work.
  • Assist with the year-end financial audit.
  • Maintain required records, reports, and files in an organized manner.
  • Perform other related duties as assigned to advance organizational objectives.

KEY RESPONSIBILITIES – Payroll

  • Process bi-weekly payroll for hourly and salaried employees, as well as special payrolls for bonuses, retroactive pay, etc. using ADP Work Force Now.
  • Maintain and update staff information including new hires, terminations, employment status changes and salary placement via ADP Workforce Now.
  • Assist staff with leave and other benefit accruals, wage deductions, general questions related to payroll and other pay-related issues, research all payroll discrepancies.
  • Review employee timesheets for accuracy and completeness, per Finance coding, and follow up on missing or unapproved timesheets.
  • Reconcile payroll ledger accounts on a quarterly basis, in conjunction with the Controller.
  • Pull post-payroll reports for donation reports, retirement employee contributions, general ledger, etc. and submit to Controller, as needed.
  • Multi-state payroll tax filing and maintenance.
  • Work closely with Human Resources during new employee onboarding to ensure all the relevant payroll information has been received before the new employee’s first pay.
  • Provide training to new employees, managers, and interns as needed on payroll system.
  • Assist with the validation of W4, State, and Local Agency Tax forms for accuracy as processed by Human Resources or interfaced from the ADP Workforce NOW Applicant Tracking System.
  • Review and issue employee W-2’s and other tax related documents.

POSITION REQUIREMENTS

Education: Associate or bachelor’s degree in finance, business, or other related field required.

Experience: A minimum of 3-5 years of experience in a relevant accounting role, with a focus on accounts payable and payroll processing.

Skills:

  • 3+ years of payroll accounting experience and ADP Workforce Now experience a MUST.
  • Strong knowledge of payroll systems and compliance with payroll tax regulations.
  • 2+ years of accounts payable and processing/reviewing timesheets.
  • Knowledge of Bill.com (preferred).
  • Knowledge of Sage Intacct (preferred).
  • Proficiency in managing accounts payable, including invoice processing, vendor payments, and reconciliation.
  • Functional knowledge of Microsoft Office (Word, Excel, Power Point).
  • Dependable, detail-oriented with good analytical and problem-solving skills.
  • Distinctly self-motivated and capable of handling multiple tasks.
  • Intermediate accounting, accounting terminology and payroll knowledge.
  • Strong problem-solving ability, time management, communication (verbal/written) and organizational skills.
  • Strong analytical and problem-solving skills with high-level attention to detail.
