We are currently seeking a dedicated and experienced Litigation Secretary to join our Downtown Houston office. In this role, you will provide comprehensive litigation, administrative, and clerical support to a team of attorneys. Your contributions will help streamline office operations and case management processes, ensuring our attorneys have the reliable support they need. This role offers a dynamic blend of administrative, organizational, and client-facing responsibilities in a collaborative and professional team environment. Key Responsibilities <ul><li> Attorney Support : Provide secretarial assistance to 4–5 attorneys. </li><li> Case Management : Manage case deadlines, prepare for trials, and conduct research. </li><li> Document Preparation : Transcribe, edit, and proofread legal documents, including appeals, motions, and petitions. </li><li> Calendar & Scheduling : Maintain attorney calendars; coordinate hearings, depositions, and other proceedings. </li><li> Client Interaction : Communicate effectively with clients, colleagues, and external parties. </li><li> Filing & Records : Organize and manage legal documents using document management systems and maintain court dockets and filings. </li><li> Billable Entries : Enter and track attorneys’ billable hours. </li><li> Information Management : Research and verify case details; handle confidential documents with discretion. </li><li> Administrative Tasks : Answer phones and emails, take messages, and manage correspondence. </li></ul> Qualifications <ul><li> Education : Associate degree or equivalent legal education preferred. </li><li> Experience : Minimum of 5 years of legal secretarial experience in litigation. </li><li> Skills : </li><li><ul><li> Advanced proficiency in Microsoft Office Suite (Outlook, Word, Teams). </li><li> Familiarity with office equipment (printers, fax machines, photocopiers). </li><li> Experience with document management software is a plus. </li></ul></li><li> Certifications : Notary public designation is a plus. </li><li> Core Competencies : </li><li><ul><li> Exceptional organizational and time management skills. </li><li> Meticulous attention to detail and accuracy in a fast-paced environment. </li><li> Strong verbal and written communication skills. </li><li> High standards of client service and professionalism. </li><li> Ability to prioritize tasks and meet deadlines independently. </li><li> A team-oriented mindset with the ability to collaborate effectively. </li></ul></li></ul> We offer a supportive and collaborative team environment where your skills and expertise are valued.
