As the Office Assistant 2, you will: Greet participants courteously using Participant Centered Services, determine reason for WIC visit, screen participants for identification, residency and income based on State WIC Policy and Procedure manual, ensure accuracy of participants records, document interactions accurately, answer general questions regarding WIC, communicate with staff using established technology systems, and provide WIC Rights and Responsibility declaration and Voter's Registration Issue food benefits, assist participants with issues related to spending food benefits, organize and maintain clinic forms, answer follow-up questions as needed Work cooperatively to share and manage flow at the front desk and use positive and effective communication with co-workers and supervisors Use customer service skills and critical thinking to assist participants with a variety of needs, such as provide community referrals, provide self-paced lessons, complete review of proof of income, residency and identity, process transfer documentation, schedule appointments and issue WIC ID and eWIC cards as needed Provides all services in a culturally appropriate and sensitive manner Checking in and out for WIC classes, inventory checks, check OHP eligibility, check incoming messages and faxes and distribute accordingly, run reports and do follow-up work, complete food issuance audits, archive forms, print and send appointment reminders as well as graduation letters and termination letters, send appointment reminder notices and respond to client messages using established technology systems, send completed Voter's Registration forms and Lost & Stolen forms, complete other special tasks and projects as assigned, attend staff meetings and contribute positively, assist in orientation and training of new employees as necessary Assist participants over the phone, answering calls or calling participants, to assist with a variety of needs, such as: screen participants for WIC eligibility, make and reschedule appointments for WIC services and classes, remind of upcoming appointments, provide community referrals and answer general WIC related questions Communicate with staff using established technology systems Work cooperatively to share and manage call volume Participate in outreach events and in committees or work groups Diversity and Inclusion: At Multnomah County, we don't just accept difference; we value it and support it to create a culture of dignity and respect for our employees. The WIC Office Assistant 2 position works primarily at the front reception desk, screens applicants for eligibility, makes and reschedules appointments, checks participants in and out of appointments, answers routine questions, documents transactions, issues food benefits, prepares mailings, uses critical thinking to address problems at the front desk, provides back up phone support, works cooperatively with teammates, and provides excellent customer service through each step.
