• Manage high-volume manual invoice processing (200-300 invoices/day).
• Maintain daily accounting inboxes, perform accurate data entry, and execute strict three-way matching.
• Reconcile vendor accounts, investigate discrepancies, and foster positive vendor relationships.

• Lead targeted outreach on high-dollar past-due accounts.
• Resolve billing disputes professionally by negotiating effective payment arrangements.

• Oversee the filing, tracking, and processing of HVAC manufacturer warranty claims.
• Coordinate with technicians and warehouse staff to gather required details and ensure timely approvals.

• Experience: 2+ years of hands-on AP/AR experience (HVAC or trade industry experience preferred).
• Software: Proficiency with Sage Intacct (strongly preferred), ServiceTitan (a plus), and Excel.
• Skills: strong three-way matching ability, excellent cross-functional communication, and self-directed problem-solving skills.
• Education: High School Diploma or equivalent (No 4-year degree required). Simple, Two-Step Interview Process

• Execute end-to-end processing for a high volume of vendor invoices (200-300 daily) within a fast-paced, manual accounting environment.
• Maintain daily AP email inboxes, review incoming invoices for accuracy, perform precise data entry, and execute strict three-way matching (PO, receiving log, invoice).
• Reconcile vendor statements systematically, investigate pricing or quantity discrepancies, and interface directly with vendors and internal managers to resolve issues.

• Lead targeted collections outreach on high-dollar past-due accounts, maintaining clear records of all customer communications.
• Resolve complex billing disputes directly with customers by negotiating structured payment plans that support business cash flow while preserving client relationships.

• Manage the complete lifecycle of HVAC manufacturer warranty claims, including initial filing, tracking status, and ensuring proper credit processing.
• Partner with field technicians and warehouse teams to gather accurate equipment data, serial numbers, and fault logs to prevent claim rejections.

• Work alongside the AP Manager, project managers, and field staff to align billing, inventory, and job costs accurately in Sage Intacct and ServiceTitan.
