This is a categorically funded assignment contingent upon year-to-year funding

General Description:

Under the direction of the Director of Admissions, Records and Follow-Up Services, performs specialized technical duties related to the evaluation and processing of student records; performs complex research and verification of data, as well as evaluation of records for purposes of verifying course credit and determining if graduation requirements have been met; evaluates and verifies transfer equivalent coursework; assists in the maintenance of transfer data bases; investigates and resolves complex technical problems and issues related to the assignment; and serves on committees directly relating to the assignment.

Examples of Duties

Essential Functions:

  • Researches, verifies, analyzes and assesses student transcripts and academic histories, accurately translating grading systems and course credit awarded from other institutions; award equivalent credit based on educational, military and other backgrounds through analysis and comparison of Merced Community College courses
  • Researches catalogs and course information to/from other colleges and universities using on-line and other data sources; evaluates catalog information to establish whether course-to course equivalencies and competencies have been met
  • Contributes to course articulation/equivalency data for use in and as part of the evaluation database
  • Provides information, assistance, interpretation, and clarification to graduation applicants and counselors in analyzing student records for placement decision making, course substitution and course petition policies
  • Awards AP, IB and Credit by Exam units based on established District Policy; posts grades earned through CBE and 2+2
  • Processes CSU GE, IGETC and Reciprocity certifications as required
  • Reviews and reports AAT/AST information to e-Verify system data base within established timelines
  • Performs technical review and processing of graduation application information verifying through set audit processes the proper completion of program and other graduation requirements, communicates application outcomes to student applicants, enters awards in established data platforms, and assists in the preparation of related reports for the District graduation ceremony
  • Serves on Graduation committee, prepare and mail graduation information packets to graduates, assist as needed in the planning of the graduation ceremony
  • Serves as Admissions representative to the Curriculum committee
  • Prepares and scans incoming transcript and graduation application records to the records imaging software
  • Interprets Admissions and Records and District policies and applies them in a variety of procedural situations
  • Assists with the application/registration process as needed
  • Other related duties as assigned

MINIMUM QUALIFICATIONS

REQUIRED EDUCATION AND EXPERIENCE

Education/Training/Experience

  • Associates degree AND three (3) years of applicable experience

OR

  • Bachelors degree

OR

  • The equivalent education and experience
  • Sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students

Desired:

  • Experience in a college or university setting involving technical review of transcript coursework and the awarding of degrees

Interview Information:

Applicants deemed highly qualified for the position will be invited to participate in onsite oral interviews conducted by a screening committee. A limited number of candidates will be selected to move forward to the interview stage.

Interviews are tentatively scheduled for mid July, 2026 with an in-person second interview scheduled for the following day.

Health Benefits

The cost is $12.00 per month for 10 months each year, with no deductions in June and July. This amount covers the following services, provided that members use Plan providers:

  • Medical (Anthem Blue Cross)

$100 deductible for each family member or $300 deductible per family paid by employee each calendar year. 100% coverage after deductible is paid (except for emergency room visits which cost $100 unless the person is admitted to the hospital).

  • Prescription (Navitus)

Pharmacy costs are $3.00 for up to a 30-day supply of generic medications and a $15.00 co-payment for brand-name medications; at Costco, a 30-day supply of generic medications and a 90-day supply by mail are $0.00, while brand-name medications cost $15.00 for a 30-day supply and $35.00 for a 90-day supply.

  • Dental (Delta Dental - Incentive Plan)

  • Plan pays 70% the first calendar year that the plan is used

  • 80% paid second year

  • 90% paid third year

  • 100% paid fourth year

  • 100% will be paid each year thereafter unless member does not visit the dentist each year for cleanings/check-ups.

  • $1,500 lifetime maximum for each enrollee.

  • Vision (VSP)

$5.00 co-pay for exam every calendar year. The plan pays $150 for frames, anything over $150 is paid by the member. Single vision, lined bifocal and lined trifocal lenses are covered in full.

  • $50,000 life insurance policy on employee
  • Short-term and long-term disability.

Retirement (Public Employees Retirement System - CalPERS)

Classic members - 7% and the college pays 26.68%.

New members (PEPRA) - 8% and the college pays 26.68%.

Holidays, Sick Leave, Vacation

  • Holidays: 11 paid plus 5 days during Christmas.
  • Sick: 12 days per year each fiscal year.
  • Vacation: 12 days per year (8 hours per month). Can accrue more based on years of service (see table below).
