Description
The Employee Onboarding Coordinator is responsible for designing, coordinating, and continuously improving the organization's end-to-end onboarding experience. This role ensures that every new employee has a seamless transition into the organization by managing pre-employment activities, orientation, required documentation, system access, compliance requirements, and cross-functional coordination with hiring managers and internal departments.
Key Responsibilities
Manage the complete onboarding process from accepted offer through new hire integration.
Coordinate pre-employment requirements, including background checks, documentation, and onboarding paperwork.
Schedule and facilitate new hire orientation sessions.
Partner with HR, IT, Payroll, Security, Facilities, and department leaders to ensure employees have the necessary equipment, system access, and resources on their first day.
Develop and maintain onboarding materials, checklists, guides, and standard operating procedures.
Monitor compliance with employment regulations and organizational policies related to onboarding.
Track onboarding metrics and employee feedback to identify opportunities for process improvement.
Serve as the primary point of contact for new hires during their onboarding period.
Support managers in creating effective onboarding plans and ensuring successful integration into teams.
Maintain accurate records within HR information systems and ensure data integrity.
Recommend and implement enhancements to improve the new hire experience and operational efficiency.
Requirements
Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent experience).
Experience in HR, talent acquisition, employee onboarding, or people operations.
Strong organizational and project management skills with the ability to manage multiple priorities.
Excellent interpersonal and communication skills.
Experience with HRIS platforms and onboarding technologies.
Knowledge of employment documentation, confidentiality requirements, and compliance practices.
