Description

Our client in higher education is seeking an Event Coordinator! The Event Coordinator is responsible for supporting the planning and execution of events. The ideal candidate requires a strong sense of hospitality, organizational skills, attention to detail, and deliver a high-level of customer service.

Responsibilities:

  • Under the direction of senior staff, support logistical arrangements including vendor selection and negotiations, liaise with internal and external partners, and maintain guest list databases.
  • Track venue reservation, maintain event and office supplies, and inventory.
  • Research speakers, guests, and other event-related aspects as needed.
  • Deliver exceptional hospitality and onsite support for events, including setup, meeting coordination, and overall guest services to ensure smooth operations and a memorable attendee experience.
  • Provide support for all aspects of customer service. Answer and monitor event-related phone lines and email inboxes. Develop and adapt customer service templates and FAQs in coordination with the event logistics team to properly reflect pertinent details in public communications.
  • Provide in-person customer service support by staffing event registration and welcome desks, proactively providing relevant information and support to guests and participants.
  • Support the development of web content and event materials, contribute to proposals and program ideation, and draft correspondence and executive-level documents.
  • Responsible for tasks related to registration, event management and communications software (e.g., Social Tables, Airtable, MailChimp, Bedework, Filemaker).
  • Maintain systemized processes and procedures, and suggest improvements for tracking project developments and internal databases.
  • Responsible for post-event wrap up tasks such as archiving event photos and final planning files, collateral materials, and capturing relevant data for analysis and reporting.
  • Establish and build relationships with key stakeholders.
  • Assist with special projects. Provides project support for the rest of the team as directed.
  • Additional duties as assigned.
Requirements:
  • Bachelor's degree or equivalent
  • 2+ yrs of event production experience
Preferred Skills:
  • Events experience in a university, major cultural institution, or other comparable environment


Compensation: $25-29/hr
Salary is based on a range of factors that include relevant experience, knowledge, skills, other job-related qualifications.
