Position Introduction:
The Administrative & Client Services Assistant supports the administrative team at The Virtue Center and helps create a welcoming, professional, and supportive environment for clients, visitors, and staff. The Virtue Center provides help and hope to individuals and families facing challenges through compassionate, trauma-informed, and community-centered care.
This position provides students with experience in nonprofit administration, customer service, office operations, and community-based behavioral health services.
Duties and Responsibilities:
- Greet clients, visitors, and community members in a friendly and professional manner.
- Assist with front desk and receptionist duties, including answering and directing phone calls.
- Assist with scheduling appointments and providing appointment reminders.
- Assist clients with completing intake paperwork and other administrative forms as directed.
- Perform general clerical duties, including filing, scanning, copying, data entry, and document organization.
- Assist with organizing and maintaining client files and administrative records.
- Help keep the reception and waiting areas clean, organized, stocked, and welcoming.
- Restock informational materials, forms, and office supplies as needed.
- Assist with inventory organization and communicate supply needs to staff.
- Assist with updating lobby materials, informational displays, and other media.
- Provide administrative support for special projects, programs, and community events.
- Assist staff with event preparation and coordination as needed.
- Maintain confidentiality of client and organizational information.
- Follow The Virtue Center''s policies and procedures regarding confidentiality and professional conduct.
- Complete additional administrative duties and special projects as assigned.

Required Education and Experience:
Must be currently enrolled in the Fall Term as a student at the University of Oklahoma.
Hiring contingent upon verification of current student status.
Must be currently enrolled as a college student and meet Federal Work-Study eligibility requirements.

- Dependable, organized, and able to follow through on assigned tasks.
- Comfortable working with individuals from diverse backgrounds and life experiences.
- Ability to maintain confidentiality when working with sensitive information.
- Basic computer skills and familiarity with Microsoft Office, including Word, Excel, and Outlook.
- Ability to learn new computer programs and office procedures.
- Strong attention to detail and willingness to learn.
- Professional and compassionate attitude.
Department Preferences:
- Interest in nonprofit organizations, social services, behavioral health, psychology, counseling, social work, or related fields.
- Previous customer service, receptionist, or administrative experience is helpful but not required.
- Comfortable working in a mission-driven environment serving individuals and families experiencing addiction, mental health challenges, and other barriers.
- A compassionate, respectful, and nonjudgmental approach when interacting with clients and visitors.
