Order Management SpecialistWe are looking for a detail-oriented and proactive Order Management Specialist to join our Order Management team. In this role, you will serve as the primary point of contact for customers and vendors, owning the communication, risk management, and exception handling that keep orders moving smoothly from placement through to fulfillment. You will work closely with Production Support staff, the Post-Production Coordinator, and cross-functional partners to ensure that every order is managed with accuracy, accountability, and a customer-first mindset.This is a great opportunity for someone who thrives in a fast-paced environment, is comfortable making judgment calls with incomplete information, and takes pride in keeping things organized and moving forward.What You Will DoCustomer CommunicationAct as the primary point of contact for customers on order status, availability, and delivery timelinesProactively communicate delays or changes before they escalate, providing clear and realistic revised timelinesPartner with sales and customer service to ensure alignment on customer commitments and expectationsVendor & Supplier CoordinationManage day-to-day communication with vendors and suppliers on order progress and production timelinesFollow up on outstanding confirmations, approvals, and deliverables to keep orders on trackEscalate vendor performance issues or capacity concerns with supporting context and a recommended course of actionRisk & Exception ManagementIdentify order-level risks early and assess their potential impact on customer commitments and inventory availabilityMake informed decisions on how to handle exceptions, delays, or discrepancies, escalating when the situation warrants itMaintain a clear record of exceptions and resolutions to support continuous improvement over timeCollaborate with the Post-Production Coordinator to factor in-transit risks into order-level decisionsTeam CollaborationDirect Production Support staff on data entry, reporting, and document management tasks, providing clear priorities and follow-throughEnsure Production Support has the context needed to maintain accurate records that reflect current order and risk statusContribute to team process improvements by surfacing recurring issues and recommending solutionsWhat We Are Looking For2+ years of experience in order management, production coordination, customer service, or a related fieldStrong communication skillswritten and verbalwith a track record of managing customer and vendor relationships professionallyComfortable working in an ERP system and maintaining accurate data across multiple workflowsHighly organized with strong attention to detail and the ability to manage multiple priorities simultaneouslyA proactive, solutions-oriented mindsetyou flag problems early and come with a planAbility to work collaboratively across teams while also taking ownership of your individual responsibilitiesWhy Join Us We are a team that values clear communication, operational excellence, and continuous improvement.
