Job Summary:
This position oversees key functions related to Public Records compliance for the District and analyst support for the Public Relations/Communications staff. Responsibilities include managing compliance and safety training systems and serving as the District's Public Records Officer under the direction of Human Resources. The position works closely with the district's Public Relations and Communications specialist in a support role; duties include: social media management and content creation, newsletter support, drafting emails, newsletters, writing talking points, creating content for staff and families, coordinating communication about school events, and calendaring.
Essential Duties and Responsibilities
Public Records Analyst (reports to Human Resources)
- Work with the primary point of contact for public records requests to coordinate with various departments to ensure timely and accurate responses to records requests. Under the direction of the district's Human Resources team, essential duties and responsibilities also include:
- Interact with the public and internal stakeholders to clarify requests, provide information, and ensure transparency.
- Locate, review, and compile requested documents, evaluate exemptions, redact confidential information, and maintain logs of redactions and exemptions.
- Ensure that all responses comply with federal, state, and local laws.
- Work with the Technology Department to develop and refine protocols for electronic public records searches.
- Organize, store, retrieve, and dispose of records in accordance with legal retention schedules and organizational policies.
- Monitor changes in public records laws and case law.
- Perform related duties as assigned.
Communication Analyst (reports to the Public Relations Strategist)
- Support the development and distribution of district communications.
- Write, edit, and publish newsletters, emails, announcements, press releases, and other communications for families, staff, and the community.
- Support the management of digital and social media content.
- Assist in maintaining the district website and social media platforms, creating and posting timely, accurate, and engaging content.
- Assist with crisis and emergency communications.
- Help prepare and disseminate clear, accurate information during emergencies, school closures, safety incidents, and other time-sensitive situations.
- Perform related duties as assigned.
Knowledge, Skills, and Abilities
- Knowledge of the Public Records Act, applicable regulations, and associated case law.
- Knowledge of district-approved platforms and software programs, including Microsoft 365 and Google Workspace.
- Ability to establish cooperative working relationships with district staff and the public.
- Ability to work in an atmosphere where interruptions occur frequently, and priorities are often modified using a high degree of flexibility.
- Ability to understand and complete oral and written instructions.

Education and Experience
- High School diploma or equivalent.
- Bachelor's degree in business administration, communications, risk management or a related field preferred.
- Experience in public records and communication in a public-sector or school district environment is preferred. Experience can be substituted for a degree.
Working Conditions
- Frequent handling of sensitive and confidential employee information.
- Primarily office-based position within a school district administrative setting.
- Work is performed at a desk using a computer and standard office equipment.
- Extended periods of sitting and computer screen time are required.
- Periodic overtime may be required.
- Regular interaction with staff and external agencies.
- Minimum physical exertion; occasional lifting or movement of files and records.
- The noise level is that of a normal office environment, but can vary.
- Work will involve time-sensitive tasks and deadlines requiring sustained concentration.
- Will be evaluated by the Executive Director of Human Resources and/or the Public Relations Strategist. This process will include an evaluation of the employee's performance of the essential duties and responsibilities outlined above.
Evaluation:
This position shall be evaluated periodically by the principal or principal designee pursuant to the currently established district procedures and evaluation criteria. The process shall include an evaluation of the employee's performance of the above essential job functions.
