The Oak Creek-Franklin Joint School District is seeking a 10-month School Secretary at Deerfield Elementary School

Responsibilities include:

General Administrative Tasks:

  • Answer phone calls and greet visitors, providing assistance and information as needed.

  • Monitor building access and security, including managing entry doors and visitor sign-ins utilizing the Raptor system.

  • Assist in maintaining book inventory.

Student Management:

  • Responsible for the enrollment process for new students, including requesting/updating student records, class assignments & communicating with parents/guardians.

  • Maintain teacher rosters and class lists.

  • Process attendance, maintains attendance records and sends attendance warning letters to parents.

  • Tracks enrollment counts for State reporting purposes.

  • Tracks report cards and ensures completion in order to post and make available to parents/guardians.

  • Send messages to parents through Infinite Campus messenger.

  • Provide information to parents regarding bus transportation.

Financial Management:

  • Through the utilization of Skyward Financial Management System:

  • Place orders for supplies, materials, and equipment needed for the entire building.

  • Receive and inspect incoming shipments, verifying contents and ensuring accuracy.

  • Process deposits and maintain accurate records of financial transactions.

  • Monitor and manage petty cash funds for small purchases and reimbursements.

  • Processes p-card statements and submit all required documentation.

  • Oversee field trip budgets, including coordinating transportation, permissions, and payments.

  • Maintain a running inventory of activity account funds for each teacher or department.

  • Assist teachers in managing their activity accounts and processing transactions.

Parent-Teacher Organization (PTO) Support:

  • Collaborate with the PTO board, including tracking events, income and expenses.

  • Serve as a liaison between the school administration and the PTO board.

Teachers on Call (Substitute Management):

  • Ensure adequate coverage for teacher absences.

  • Assist in filling unfilled absences and arranging substitute coverage as needed.

  • Approved hours within the Teachers on Call system.

Communication and Website Maintenance:

  • Serve as the main communicator for the building, utilizing platforms such as ClassDojo for announcements and updates.

  • Maintain and update the school website with current information, events, and resources.

  • Prepare and distribute newsletters or other communications to parents, staff, and stakeholders.

Emergency Preparedness:

  • Coordinate and conduct fire drills and lockdown drills according to district protocols.

  • Manage the Raptor system for visitor check-ins and security monitoring.

Health Room Support:

  • Assist in maintaining health records, including immunization records and student health files.

  • Serve as a backup for students requiring medications and medical assistance.

Other duties as assigned by the Building Principal.

Cost of health insurance for 10-month School Secretary:

Single: $204.70 per payroll (based on 20 payrolls)

Family: $458.53 per payroll (based on 20 payrolls)
