General Function:
Reports directly to the Deputy/Assistant Superintendent and provides support to high school and middle school athletic staff and coaches. Performs and/or oversees a variety of associated administrative, financial, and operational tasks such as budget management, equipment and facility oversight, document and reporting compliance, and district-wide communication. Is responsible for specific information-gathering projects and tasks. Ensures financial stability and compliance within the athletic department by managing transactions, budgeting, and reporting. The position ensures compliance, facilitates internal and external communication, and interacts regularly with senior leaders, playing a critical role in the smooth and efficient operation of district athletic programs.
Education/Training/Experience:
Minimum: Associate's degree in administration, management, accounting, or a closely related field. Five (5) years of related experience or equivalent combination of education and directly related experience in athletics and administration.

Knowledge/Skills and Abilities:
Demonstrated knowledge of the overall operations of an athletic program. Familiarity with state and NMAA policies governing athletics. Demonstrates strong organizational, communication, and computer skills essential to achieve the goals of the position. Demonstrates ability to maintain emotional control under stress. Works well with others from diverse backgrounds. Ability to communicate clearly and effectively, both verbally and in writing, with an emphasis on timeliness. Demonstrated ability to manage budgets and personnel. Technology skills, including the ability to use email, the internet, Microsoft Word, Excel, and Google programs. Ability to incorporate technology to maintain the operations of the department, including the use of the sfps.info Athletics and Activities website pages, iVisions, and any software needed to run the athletics program. Capacity to meet the physical demands of the position. Able to work independently.
Essential Job Functions:
All functions are performed in accordance with established policies, procedures, safety and environmental regulations, facility and computer security policies and procedures. Functions are subject to change over time to meet the district's needs. Current essential functions include the following:
Financial Oversight
Approve payroll and payments for officials, game workers, and coaching staff
Verify and submit payment for all officials and game workers in DragonFly after each contest
Budget Management & Reporting
Ensure the department functions within prescribed budgets
Conduct financial audits and prepare reports as requested
Fundraising & Revenue Management
Ticketing & Event Organization
Coordinate ticket sales using the GO Fan platform for middle school events and provide support by verifying high school events, pricing, and ticketing setup for all sporting events
Transportation Management
Submit and manage all transportation purchase orders, payments, and budgets
New Coach Processing
Submit supplementals and EPARS for coach positions and new coach hires
Manages coach position vacancy postings in coordination with HR
Ensure reference checks are completed on new coach hires
Communicates with coaches and athletic staff on new hire clearance status
Coach and Athletic Staff Support
Attend security meetings for schedule verification
Schedule interviews for new head coach positions as requested by the AD
Manage season coach assignments and payroll communications with Business Services
Attends any conferences or meetings as the district representative, as requested
Serve as a point of contact for parents, coaches, officials, and community partners
Scheduling & Correspondence
Support scheduling and coordination of coach and parent meetings
Send district athletic communications and policy updates
Assist with building middle school athletic schedules
Distribute weekly middle school athletic schedules to the appropriate staff
Documentation & Compliance Management
Maintain and manage all coach contracts
Submit annual reports to NMAA and NMPED as required
Tracks coach licensure status and renewal reminders
Maintain accurate rosters of all coaching positions
Process stipend EPARs for coach season and off-season stipends
Collect, verify, and file all end-of-season documentation from coaches
Update and maintain the athletics and activities website page
Provide support to ensure Title IX compliance
Office Management
Manage and update district DragonFly accounts and compliance documentation
Performs additional tasks and responsibilities as needed to support the Athletic Director
Salary Range:
$56,000 to $60,000+
Resources Used in Performing the Job Include (but are not limited to):
A wide variety of instructional materials and resources, including electronic/digital equipment. Standard office equipment and a vehicle for district-wide travel to meetings and school sites.
Physical/Cognitive Requirements:
Ability to sit at a desk or computer for long periods during the day. Ability to communicate effectively using speech, vision, and hearing. The work requires the use of hands for simple grasping and fine manipulations, at times bending, squatting, and reaching. Regularly required to lift or exert force of up to 25 pounds. The ability to lift, carry, and push up to 50 pounds. Frequent trips by automobile to school sites and departments as required. Must possess and maintain a valid driver's license and private automobile.
Environmental Conditions:
Occasional prolonged and irregular hours. Regularly exposed to outdoor weather conditions. Possible district and statewide travel. An office space with low to moderate noise levels. Presence on athletic fields, gymnasiums, and at other sporting venues.
