Administrative Assistant - Tech Center

Job Summary:

Serves as district contact for first-level support and reporting of technical issues on district equipment. Manages operational information for the Technology Center day-to-day activity. Files complete, tracks, and reports on technology inventory flows within the district. Serves as receptionist for the Technology Center building. Provides clerical support to the Director of Technology.

Essential Duties and Responsibilities:

Responsible for fostering excellent customer service relationships with district employees who rely on the Technology Center for support.

Greets visitors and answers phone calls to the Technology Center.

Provides first-level technical support to callers needing assistance.

Creates work orders as needed for Technology Center staff to document team workload.

Types, prepares, distributes, files records, reports, correspondence, and mailings using computers and software.

Communicates with others using telephone and computer mail systems.

Maintains records, documents, and files in hard copy and on computer databases and retrieves information from files.

Orders, processes, and maintains office supplies & equipment.

Operates modern office equipment including a PC and related software.

Performs related duties as required by supervisor.

Qualifications:

Knowledge Of:

  • Preparing letters, documents and reports.
  • Modern office procedures, equipment and practices.
  • Filing systems - both non-electronic and electronic.
  • District policies and procedures.
  • Correct English usage, grammar, spelling, punctuation and vocabulary.
  • Computer and software operation, specifically the use of Microsoft Office applications.
  • Proper inventory terminology.
  • Database best practices.
  • District organization and operations.

Ability to:

  • Perform modern office practices, procedures and operate equipment.
  • Perform clerical duties such as filing, duplication and maintaining records.
  • Operate a computer and software programs.
  • Understand and follow oral and written directions.
  • Meet schedules and timelines.
  • Prepare reports, letters and other documents.
  • Maintain files and records and retrieve information.
  • Work cooperatively with others.
  • Communicate effectively with others.
  • Communicate effectively both orally and in writing.

Education and Experience:

High school diploma or general education degree; one year related experience in using Microsoft Office products such as Word, Excel and Access.

Language Skills:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of people. Ability to communicate in a straight forward way that does not sound accusatory or impatient, or cause anyone to become defensive.

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Certificates, Licenses, Registrations:

Valid driver's license and driving record acceptable to the District for insurance purposes.

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee regularly works in indoor conditions and regularly works near video display. The noise level in the work environment is usually moderate.
