Role:

The Commercial Loan Portfolio Assistant performs a variety of administrative and operational duties supporting the Commercial Loan Division. This role coordinates activities related to commercial loan processing, servicing, and documentation while assisting Commercial Division leadership with client requests, loan closings, exception tracking, and departmental reporting. The position supports strong client relationships, contributes to an efficient loan process, and helps ensure compliance with internal policies and regulatory requirements.

Primary Responsibilities:

  • Provide administrative and operational support to the Commercial Division Manager, Senior Credit Officer, or SVP - Senior Lending Specialist related to commercial loan activities. Assist by obtaining financial information, documentation, and required materials from clients and internal partners.
  • Help coordinate documentation required for commercial credit packages in collaboration with Credit Analysts and Credit Administration.
  • Generate loan documentation which includes the related system integration upload for Client Managers and Commercial Officers when necessary.
  • Work with Title Insurance Companies to coordinate loan closings for clients.
  • Maintain ongoing supervision of commercial loan files and client documentation in accordance with loan agreement requirements.
  • Contact clients to obtain required information and other documentation related to active credit relationships.
  • Assist with tracking, monitoring, and resolving technical loan exceptions in addition to reviewing daily departmental reports. .
  • Act as an extension of Client Managers by assisting with resolution of client‑related issues and coordinating with internal departments to ensure timely service.
  • Support efforts to enhance the client experience through responsive communication and follow‑through.
  • Assist with the preparation of monthly departmental reports and assist leadership in measuring progress toward Commercial Loan Division goals.
  • Perform special projects at the direction of Commercial Division leadership, including tasks involving confidential or sensitive information.
  • Performs additional job-related duties as assigned.

Knowledge and Skills:

  • Working knowledge of commercial lending activities, loan documentation, and loan servicing processes.
  • Strong verbal and written communication skills with the ability to interact professionally with clients and internal staff. Ability to prepare and interpret detailed verbal and written instructions accurately.
  • Ability to build effective cross‑departmental working relationships.
  • Strong organizational skills and attention to detail.
  • Ability to independently identify issues, propose solutions, and escalate appropriately.
  • General accounting knowledge with emphasis on loan accounting preferred.
  • Advanced proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
  • Familiarity with core banking systems, CRM platforms, and document preparation tools (e.g., LaserPro).
  • Demonstrated discretion, confidentiality, and professionalism.

Experience:

  • Minimum of Five (5) years of experience in a loan‑related, credit, or commercial banking support role.

Education/Certifications/Licenses:

  • High school diploma required.
  • Associate degree in a related field preferred.
  • Notary certification required or preferred.

Other Skills:

  • Ability to manage multiple priorities and deadlines in a fast‑paced environment.
  • Strong client service mindset with a focus on quality and accuracy.
  • Ability to work effectively with minimal supervision while supporting team objectives.

Physical Requirements and Work Environment:

Office‑based position primarily in a back‑office environment requiring extended periods of sitting and computer use, with periodic standing or walking. Standard weekday business hours with overtime as needed to meet operational deadlines.
