Brief Summary of Job Duties:

The Production Manager is responsible for planning, budgeting, and managing the event production requirements for UCSB Arts & Lectures' annual season, ensuring that artist, contractual, logistical, and operational requirements are successfully coordinated from artist offer through post-event settlement.

Under the general direction of the Director of Education & Community Engagement, the Production Manager manages event production planning and logistical management for assigned performances, lectures, film screenings, and special events within UCSB Arts & Lectures' multidisciplinary program. Arts & Lectures presents approximately 100-150 events annually-including orchestral concerts, contemporary music, jazz, dance, theater, public lectures, film screenings, and special events-in multiple campus and community venues with varying technical capabilities and operational requirements.

The Production Manager develops event production cost estimates, administers event production budgets, reviews artist technical and hospitality riders, evaluates venue capabilities, procures event production goods and services, and manages the planning and coordination of event production requirements and logistics in collaboration with artists, artist representatives, venue technical directors, campus departments, and vendors. The position supervises the Production Associate and approximately 25 student Events employees and supports Arts & Lectures' commitment to exceptional artist service, fiscal stewardship, and operational excellence.

Required Qualifications

• Bachelor's Degree in Theater production, performing arts management, arts administration, event management, or a related field, or an equivalent combination of education and experience.
• 4-6 years: Progressively responsible experience in live event production, performing arts presenting, venue operations, or related event management.
• Experience developing and administering event production budgets and cost estimates.
• Experience advancing productions and interpreting artist technical and hospitality riders.
• Demonstrated ability to manage multiple concurrent projects with exceptional attention to detail.
• Demonstrated ability to build collaborative relationships with artists, artist representatives, venue personnel, vendors, campus partners, and colleagues.

Preferred Qualifications

• Experience with a multidisciplinary performing arts presenter, university arts organization, or comparable nonprofit performing arts organization.

• Experience supporting orchestral, jazz, dance, theater, contemporary music, film, and public lecture presentations

Job Functions and Percentages of Time:

40% - Production Planning and Event Management:

• Under the direction of the Director of Education & Community Engagement, the Production Manager is responsible and accountable for the planning, advancement and successful implementation of high-profile public events (live and virtual), with the ability to carefully assess and manage risk with a high consequence of error.
• Manages event production planning for assigned performances, lectures, film screenings, and special events from artist offer(s) through post-event settlement. Responsibilities include fulfilling highly complex contractual obligations on behalf of the Regents.
• Develops preliminary event production cost estimates to support artist offers, contract negotiations, annual season planning, and budget development.
• Reviews and redlines artist technical and hospitality riders for feasibility and cost assessment, recommending approval or modifications of riders and negotiating technical riders with artists and artist management.
• Evaluates venue capabilities in collaboration with venue technical directors and venue staff to determine how event production requirements can be accommodated.
• Develops comprehensive event production plans, schedules, timelines, and logistical requirements.
• Manages communication among artists, artist representatives, venue personnel, campus partners, vendors, and internal staff regarding event production requirements and logistics. Working with a high degree of autonomy, the Production Manager leads the event planning and advance work with artists' managers, technical staff, hospitality and other event staff. Serves as a central point of contact and liaison with contracted venue/theatre technical staff and management.
• Represents the University with decision-making authority at all times throughout the artists' residency.
• Monitors event production planning activities and coordinates fulfillment of contractual event production requirements.
• Develops practical, cost-effective solutions to event production and logistical challenges while maintaining exceptional artist service.
• Independently responsible for successful delivery of quality events within budget.
• Coordinates all activities related to the public event, including managing the public and coordinating with Publicity, ticketing personnel and Development officers.

25% - Productions Operations:

• Manages the planning and coordination of event production requirements and logistics for A&L events in collaboration with venue technical directors, artists, artist representatives, vendors, campus partners, and Arts & Lectures staff.
• Operates with a highly specialized technical knowledge of the production requirements as well as any limitations, requirements, budget and spatial constraints of the venue and UC policies and procedures. Upholds applicable union, collective bargaining, and Venue Master Services Agreement as well as industry standards and best practices.
• Procures and administers backline, equipment rentals, transportation, hospitality, catering, dressing room needs, and other event production goods and services.
• Develops and maintains detailed event production schedules and communicates schedule updates and logistical information to all stakeholders. Creates detailed and highly complex residency schedules ensuring coverage of all essential event responsibilities and timelines.
• Initiates vendor contracts for the provision of sound, lights, catering, transportation and accommodation.
• Coordinates equipment deliveries, artist arrivals, rehearsals, sound checks, performances, and load-outs with venue personnel and service providers.
• Monitors event production logistics during event execution and resolves operational issues as they arise.
• Maintains comprehensive event production documentation, including production schedules, artist advances, event files, vendor information, production history, and post-event settlement records.

15% - Budget Administration:

• Develops, administers, monitors, and reconciles event production budgets from preliminary cost estimates through final settlement.
• Obtains competitive quotations and procures event production goods and services in accordance with the University procurement policies.
• Reviews and approves event production invoices and ensures timely payment processing.
• Monitors expenditures and identifies opportunities to maximize operational efficiency while maintaining production quality and fiscal responsibility.
• Responsible for accounting for all expenses relating to A&L events (more than $1M annually)

10% - Staff Supervision and Collaboration:

• Supervises the Production Associate, including assigning work, establishing priorities, providing coaching, and evaluating performance.
• Oversees the recruitment, hiring, training, scheduling, supervising, and evaluation of approximately 25 student Events employees who support artist hospitality, backstage assistance, event logistics, and Production administration.
• Establishes staffing assignments and work schedules to ensure appropriate support for assigned events.
• Fosters productive working relationships with artists, artist representatives, venue personnel, campus departments, vendors, and colleagues.
• Works collaboratively and proactively with the Arts & Lectures Senior Directors, Development Officers, managers and staff.
• Contributes to the continuous improvement of production procedures, workflows, and operational practices.

10% - Risk Management and Compliance:

• Holds a high level of accountability in ensuring that safety standards are upheld at each venue and that event management staff is appropriately trained.
• As a member of the A&L management team, advises senior management on matters of critical importance.
• Ensures event production activities comply with the University policies, contractual obligations, venue operating procedures, and applicable safety requirements.
• Maintains event production records, budget files, and settlement documentation.
• Identifies potential operational risks and develops appropriate contingency plans.
• Resolves operational issues that may affect successful event execution.
• Other duties as assigned.
