This role is structured for approximately 30–40 hours per week depending on clinical coverage needs, with administrative responsibilities prioritized at ~30 hours weekly and direct therapy fluctuating based on client and staffing demands.

Talent Acquisition amp; Onboarding

Lead the recruitment and onboarding process to attract and support exceptional team members.

  • Monitor and respond to candidates across hiring platforms, including , , , , , and
  • Post and refresh job listings weekly
  • Schedule interviews and maintain timely communication with candidates
  • Conduct initial phone screenings to assess qualifications and overall fit
  • Generate creative recruiting strategies and build candidate pipelines
  • Maintain and update the onboarding tracker and candidate database
  • Ensure all new hire paperwork is completed prior to the start date
  • Send offer letters, welcome emails, and background checks
  • Conduct reference checks for final candidates
  • Organize employee documents within company systems
  • Conduct new hire orientation and provide a supportive onboarding experience

Scheduling amp; Productivity

Coordinate schedules to maximize clinical hours and maintain operational efficiency.

  • Develop long-term client and staff schedules
  • Match therapists to clients based on availability and clinical fit
  • Coordinate time-off requests, coverage, and make-up sessions
  • Communicate directly with staff and families regarding scheduling updates
  • Assist therapists with session confirmations and documentation reminders
  • Track authorization hours in collaboration with Operations
  • Prepare monthly productivity reports for staff and clients
  • Provide utilization data for supervision and indirect hours upon request

HR amp; Compliance Support

Help maintain a compliant, organized, and well-supported workplace.

  • Track compliance deadlines and regulatory updates
  • Support credentialing and insurance enrollment

  • Disinfect toys, therapy materials, and shared clinic spaces
  • Take out trash and help keep the clinic clean, safe, and organized
  • Develop and maintain toy and materials check-out systems
  • Monitor inventory and assist with ordering clinic supplies as needed
  • Support day-to-day operational needs to ensure the clinic runs smoothly

Clinical Support

Provide direct assistance to maintain continuity of care.
