Minimum Qualifications

  • High School Diploma or GED required
  • 3 to 5 years customer service experience in the insurance industry required
  • Must maintain current required licenses and certifications relevant to field of expertise
  • Demonstrates the ability to communicate verbally and in writing throughout all levels of organization, both internally and externally
  • Effective customer service skills

This professional supports the day-to-day administration of client benefit programs with a focus on Affordable Care Act (ACA) reporting, data integrity, client service, and process improvement. The role partners with clients and internal teams to collect, review, prepare, and audit data for ACA reporting solutions; respond to client questions; track project progress; and help ensure timely, accurate reporting outcomes. The position requires strong analytical skills, advanced Excel capability, attention to detail, sound professional judgment, and a commitment to using approved technology and AI tools responsibly to improve efficiency, consistency, and service quality. While the position is currently located in Kansas City, it may be performed remotely from any location within the United States.

Essential Functions and Primary Duties

  • Prepare, validate, and organize client-provided data for import into ACA reporting technology, including merging data from multiple sources, performing Excel lookups and reconciliations, and converting or extracting data from files such as PDFs when appropriate.

  • Create and maintain data files required to complete inputs into the CBIZ ACA CheckPoint solution.

  • Review client Excel data files on an ongoing basis; identify formatting issues, inconsistencies, missing information, and data-quality concerns; and complete cleanup needed for accurate import.

  • Develop and maintain proficiency with ACA reporting technology, including dashboard functionality, data-load requirements, reporting outputs, audit tools, and client-facing workflow steps.

  • Track annual client progress and provide timely status reporting so follow-up reminders, direct outreach, and escalation needs can be managed effectively.

  • Maintain current distribution lists for clients and authorized dashboard users to support regular, accurate communications and reporting-season updates.

  • Track renewals, new business, consulting engagements, and related revenue; provide routine updates to management and business leadership, including increased reporting during renewal season.

  • Load client data into the applicable technology solution and confirm that uploads are complete, accurate, and ready for review.

  • Review, audit, and help correct Forms 1095-C produced through the reporting solution before client approval, employee distribution, and electronic filing.

  • Prepare professional documents and deliverables, including invoices, reports, correspondence, spreadsheets, presentations, client instructions, and internal tracking materials.

  • Review incoming emails, memos, reports, and client communications; identify required action items and respond or escalate as appropriate.

  • Retrieve documents, records, and reports from shared ACA databases and internal repositories in accordance with data-security and confidentiality expectations.

  • Use approved AI and automation tools, such as Microsoft 365 Copilot or other authorized CBIZ platforms, to support drafting, summarization, data review, workflow organization, quality checks, and process improvement while preserving confidentiality and professional judgment.

  • Review AI-assisted work product for accuracy, completeness, compliance, and appropriateness before use with clients, internal stakeholders, or reporting deliverables.

  • Identify opportunities to improve recurring ACA reporting processes through better templates, documentation, data-validation steps, automation, and responsible AI-enabled efficiencies.

  • Perform general office, administrative, and project-support duties as requested by the Manager or Business Leader.

  • Schedule and support client webinars, demonstrations, meetings, and calendar maintenance related to ACA reporting and client education.

  • Manage multiple priorities and project deadlines, particularly during high-volume reporting periods.

  • Maintain effectiveness and professionalism in a deadline-driven environment during reporting season.

  • Collaborate closely with other CBIZ reporting units, Employee Benefits teams, vendor partners, and internal subject matter experts.

  • Participate in client communications and provide responsive, high-quality support consistent with CBIZ service standards.

Preferred Qualifications

  • Bachelor's degree in Human Resources, Business, Data Analytics, Benefits Administration, or a related field preferred.

  • Experience supporting compliance with ACA reporting requirements, employer shared responsibility provisions, and related federal and state reporting obligations preferred.

  • Affordable Care Act reporting, benefits administration, HRIS, payroll, or employee benefits experience strongly preferred.

  • Demonstrated ability to review, interpret, reconcile, and clean large data sets with accuracy and attention to detail.

  • Strong reporting, analytical, and problem-solving skills, including the ability to identify trends, exceptions, and data-quality issues.

  • Proficiency with Microsoft Office, including Word, Excel, Outlook, Teams, and related collaboration tools; advanced Excel skills preferred.
