Salary Range: $59,000–$61,000
Brandeis University is seeking an organized, resourceful, and collaborative Academic Administrator to join the School of Arts, Humanities and Culture. This position plays an important role in supporting the academic and faculty-related operations of assigned departments and programs, helping ensure that students and faculty have the guidance, resources, and administrative support they need to succeed.
Currently, this position will support Fine Arts, Classical Studies, and Theater, working closely with department chairs, undergraduate advising heads, faculty, students, and colleagues across the university.
The Academic Administrator takes the lead on undergraduate curricular and faculty-related processes for assigned departments and programs. From coordinating course offerings and supporting academic planning to assisting with student inquiries, faculty processes, and special projects, this role offers the opportunity to make a meaningful contribution to the day-to-day academic experience at Brandeis.
The ideal candidate is someone who enjoys bringing structure to complex processes, working independently, building strong relationships, and finding ways to make academic administration more effective.

Key Responsibilities
Undergraduate Curriculum and Academic Planning - 25%
Lead and manage undergraduate curricular processes for assigned departments and programs, including course assignments and registration-related activities across a complex set of academic requirements.
Develop and maintain streamlined processes for course planning, curriculum data collection, and academic record management.
Analyze existing data and business processes to identify opportunities for improvement and implement more effective administrative practices.
Prepare detailed reports on historical course offerings and other curricular information to support department chairs in academic planning and decision-making.
Lead the annual review of the University Bulletin for assigned departments and programs.
Academic, Faculty, and Department Administration - 20%
Independently support department chairs and undergraduate advising heads with a wide range of academic, faculty-related, and departmental projects.
Create and maintain accurate records and files related to undergraduate academics and department/program faculty.
Develop and maintain academic calendars for assigned departments and programs.
Coordinate the undergraduate prizes and awards process and assist with senior thesis defense activities.
Respond to data requests from the Dean’s Office, including information needed for annual planning.
Coordinate logistics for department and program meetings.
Represent assigned departments and programs at Students Day and the Academic Fair, answering questions about curriculum and academic programs.
Oversee students working on assigned tasks and projects.
Student Guidance and Support - 15%
Serve as a resource for undergraduate students, responding to questions about academic programs, majors, minors, and degree requirements.
Develop and apply knowledge of assigned academic programs to provide accurate and helpful guidance.
Connect students with appropriate university resources and offices as needed.
Data Entry and Academic Records - 10%
Process undergraduate program of study declarations.
Complete Workday tasks related to registration for assigned departments and programs.
Maintain accurate academic information and records.
Faculty Support - 10%
Serve as a point of contact and resource for faculty regarding technology, institutional and departmental policies, and general university information.
Assist faculty with administrative questions and help connect them with appropriate resources.
Faculty Processes - 10%
Coordinate faculty searches and related administrative activities.
Organize tenure and promotion cases, as applicable.
Provide administrative support for faculty-related processes and projects.
Other Duties - 10%
Perform other duties as assigned.
Participate in cross-functional groups and support divisional initiatives as requested.
Qualifications
Bachelor’s degree required.
2-4 years of relevant work experience.
Excellent oral and written communication skills, with the ability to coordinate effectively across departments, offices, and university groups.
Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines.
Excellent interpersonal skills and a collaborative work style, with the ability to build and maintain strong working relationships with faculty, students, staff, and colleagues across Brandeis.
Ability to work independently, exercise sound judgment, and take initiative in managing academic and administrative processes.
Ability to learn and apply academic policies, degree requirements, and university systems.
