Job SummaryThe Office of the Registrar is seeking an Academic Advisement Systems Analyst to support and enhance its academic advisement systems. This role is responsible for maintaining and improving degree audit and academic planning tools, ensuring accurate and efficient advising processes for students, faculty, and staff.Key ResponsibilitiesAnalyze academic policies and translate them into system configurationsMaintain and update degree audit and advising systems (PeopleSoft)Test system updates and ensure accuracy of advising toolsTroubleshoot issues and provide functional supportCollaborate with campus partners, IT, and academic departmentsCreate documentation and provide training to usersKnowledge, Skills & AbilitiesAbility to communicate with constituents in a professional and respectful mannerUnderstanding of higher education academic structures, including majors, minors, options, and complex general education requirements, as well as federal, state, and institutional policies impacting degree requirementsAbility to evaluate complex academic rules, integrate and interpret data, identify issues, and develop effective solutions using sound reasoning and strategic thinkingProven ability to ensure precision in system configuration, degree audit logic, and data validation in a detail-oriented environmentAdvanced understanding of relational databases, ERP systems (preferably PeopleSoft Campus Solutions Academic Advisement), and proficiency in word processing, spreadsheets, and related software applicationsAbility to perform detailed coding, testing, troubleshooting, and documentation to maintain and enhance advising tools; ensure accuracy of system configurations through data analysisCapacity to adjust to evolving academic policies, technological changes, and institutional priorities; able to independently plan, organize, and coordinate work in a fast-paced environment with minimal supervisionStrong interpersonal and communication skills to work effectively with faculty, staff, and peers across departments, fostering cooperation to achieve shared goalsAbility to make independent decisions, exercise sound judgment, and apply creativity and innovation to develop new approaches for addressing complex issuesAbility to prioritize tasks, manage multiple projects, and meet deadlines while maintaining high-quality deliverablesRequired QualificationsA bachelor's degree and/or equivalent trainingFour years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programsPreferred QualificationsAn earned bachelor's degreeMinimum of two (2) years of experience working in higher educationExperience interpreting degree requirements as a graduation evaluator, academic advisor, curriculum specialist, or other related professional positionsExperience with PeopleSoft Campus Solutions modules such as Student Records, Curriculum Management, and the Academic Advising module; other comparable Student Information System software will be consideredExperience with PeopleSoft Query, other SIS Query, or SQLExperience in developing and maintaining documentation for a program, process, or systemExperience working with Title V and California State University curriculum policies, including General EducationCompensationClassification: Administrative Analyst/Specialist – Exempt IIAnticipated Hiring Range: $6,400/month - $6,792/month (Step 6 – Step 9)CSU Salary Range: $5,797/month - $8,445/month (Step 1 – Step 20)BenefitsSan José State University offers employees a comprehensive benefits package typically worth 30-35% of your base salary.
