The Academic Services Lead is a vital member of the College of Letters and Science (CLS) Dean's Office staff with a multi-faceted and dynamic position. This person coordinates the student services for CLS and provides high-level administrative assistance to the College's Dean team. Excellent customer service and professional representation of the College and MSU are required to successfully interact with an assortment of constituents.

Position Details

General Statement

The Academic Services Lead (ASL) is responsible for coordinating all programmatic student support activities of the Dean's Office and providing high-level administrative support to the College's Dean team. The ASL must have appropriate knowledge of both CLS and MUS policies and procedures, as well as the ability to handle sensitive, confidential, and emergency situations effectively.

Duties and Responsibilities

  • Provides outstanding front-line customer service to internal constituents (students, faculty, and staff) and external constituents (parents, prospective students, alumni, and donors), following up on inquiries to the Dean's Office to ensure timely and accurate resolution.
  • Serves as backup for Assistant to the Dean and Business Operations Manager.
  • Provides high-level administrative support to the College's Dean team.
  • Supports the CLS Student Ambassador program.
  • Collects, processes, and distributes student programmatic and academic forms (e.g., suspension appeals, GARC, CERC, and add/drop forms) at the college level.
  • Partners with the Assistant Dean, University Communications, and CLS departments to support and coordinate college- and university-wide student recruitment and retention initiatives, as well as CLS events and communications.
  • Coordinates and oversees CLS student and Dean's Office events and meetings, including fall and spring commencement, MSU Fridays, orientation, the Kopriva Seminar Series, Homecoming Awards, and the annual CLS Awards Ceremony; manages logistics such as venues, catering, invitations, and coordination with sponsoring departments.
  • Manages CLS awards and recognition processes, including faculty, staff, and student awards, scholarships, research grants, College awards, and University-level recognitions; distributes award announcements, collects and organizes nominations, facilitates committee review, and communicates decisions to recipients.
  • Coordinates and provides administrative support for the CLS Curriculum Committee.
  • Provides support and communicates policies and procedures to CLS academic service staff across departments; assists with onboarding and training of Academic Service Coordinators (ASCs); and organizes and schedules Student Academic Success meetings to determine agendas and projects.
  • As appropriate, meets with students to provide information about student support resources in the College and on campus.
  • Supports the American Studies and Women's Gender and Sexuality Studies programs.

Required Qualifications - Experience, Education, Knowledge & Skills

  • Bachelor's degree and progressively responsible customer service and administrative support experience, or an equivalent combination of relevant education and experience.
  • Demonstrated experience working cooperatively and diplomatically while providing high-level customer service to a wide range of clientele in an office setting.
  • Demonstrated experience organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability with a high degree of accuracy.
  • Advanced proficiency in Microsoft Word and Excel, Outlook, and computer databases.
