Job description:

Job Title: Account Manager / Accounts Payable & Receivable Specialist

Important: This position requires **hands-on experience using QuickBooks Online for Accounts Payable, Accounts Receivable, and invoicing. Candidates who do not have experience with QuickBooks Online may not be considered for this role.

 

Job Summary

We are seeking a highly organized Account Manager / Accounts Payable & Receivable Specialist to support the day-to-day operations of our finance department. This role is responsible for maintaining accurate financial records, managing invoicing and payments, and providing administrative support to the accounting team.

The ideal candidate will have strong attention to detail, excellent communication skills, and experience working with invoicing, accounts payable, accounts receivable, and bookkeeping processes.

Key Responsibilities

  • Manage the company Accounts Payable and Accounts Receivable email inbox
  • Track project completion documentation to ensure projects are billed within 30 days of completion
  • Prepare and issue client invoices according to company procedures
  • Enter and maintain Accounts Payable records, including subcontractor and vendor invoices
  • Track incoming payments and process outgoing subcontractor payments
  • Maintain accurate subcontractor records, including insurance documents, licenses, and W-9 forms
  • Monitor subcontractor insurance expiration dates and coordinate renewals
  • Assist with onboarding new subcontractors and set up records in accounting and project systems
  • Maintain organized records within SharePoint and project management software
  • Collect completion documentation from field technicians including photos and sign-off sheets
  • Assist with monthly Accounts Receivable reviews and reporting with leadership
  • Support end-of-month bookkeeping processes
  • Provide general administrative support including filing, answering phones, and handling correspondence
  • Assist with payroll support tasks as needed

Qualifications

  • Experience with Accounts Payable, Accounts Receivable, or Bookkeeping
  • Experience with QuickBooks or similar accounting software
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Ability to manage multiple tasks in a fast-paced environment
  • Experience with project management software is a plus
  • High attention to detail and accuracy

Work Environment

  • Fast-paced office environment
  • Regular use of computers and electronic systems
  • May require occasional lifting of objects up to 30 pounds
  • Limited travel may be required
  • Exposure to moderate office noise levels
