Staff Accountant Job Description JOB TITLE: Staff Accountant DATE REVISED: November 9, 2022 REPORTS TO: Director of Accounting DEPARTMENT/CAMPUS: Business & Financial Services: Accounting FLSA: Exempt PAY GRADE/DUTY DAYS: AP2, 226 JOB PURPOSE SUMMARY: This position is responsible for performing general accounting work relating to the preparation, administration, and control of District financial resources, as well as maintaining of financial records and preparing financial statements, or other financial reports to assess accuracy, completeness, and conformance to reporting and procedural standards. KEY FUNCTIONS, ESSENTIAL DUTIES, AND RESPONSIBILITIES: Accounting: 1. Prepares journal entries and interdepartmental charges, as assigned. 2. Reviews disbursement documents, as assigned. 3. Manages and maintains all vendor files to ensure consistent accuracy and completeness. 4. Monitors 1099 payments and assists with 1099 reporting to government agencies to include, without limitation, the Internal Revenue Service (IRS). 5. Reviews monthly online payment activity, and prepares related journal entries and other necessary reporting of information. 6. Monitors uncashed checks, prepares and submits the annual unclaimed property report to the State of Texas. 7. Coordinates tagging of the District's capital assets. 8. Monitors athletic official electronic payments, and maintains balances in the department activity account. 9. Reconciles monthly collections from local tax assessor-collector entities to include, without limitation, Harris County tax office. 10. Prepares reconciliation schedules and necessary corrections, as assigned. 11. Assists with month-end and year-end closing of the general ledger. 12. Generates financial statements and related reports, as required. 13. Works in concert with internal department management, external auditors, as well as state and federal regulatory agencies in the preparation of information, documents, and reports. Compliance: 14. Prepares compliance review reports including, without limitation, transportation information for annual transportation expenditure report, monthly Check Register report for financial transparency, monthly report of List of Bills for the Board of Trustees, year-end reports for external auditors, and Annual Comprehensive Financial Report (ACFR) schedules, as assigned. 15. Performs all assigned work activities in accordance with standard procedures and protocols established by the department, and in accordance with applicable standards, procedures, and protocols established by the Financial Accountability System Resource Guide (FASRG), State Board of Education, Texas Education Agency, Texas Administrative Code, and Texas Association of Business School Officials. 1

Maintains relevant and up-to-date knowledge and understanding of standard accounting practices as set forth by the Financial Accountability System Resource Guide (FASRG). 17. Monitors respective work activity for variances and anomalies. 18. Identifies and timely reports any known or suspected compliance issues to appropriate personnel. 19. Participates, as assigned, in audits and in the preparation for audits, whether initiated internally or externally. 20. Adheres to all other District wide policies and procedures including, but not limited to, human resources, safety, and emergency protocols. General: 21. Consistently demonstrates support towards the District's Shared Vision, Mission, and Promise 2 Purpose. 22. Assists department leadership in the compilation of miscellaneous confidential reports. 23. Performs assigned job duties and responsibilities in accordance with established performance expectations, as well as with District policies, procedures, protocols, and standard practices. 26. Maintains relevant and up-to-date job knowledge by participating in continuous education initiatives. 27. Demonstrates proficient working knowledge and understanding of Microsoft Excel, Word, PowerPoint, and Outlook, Google Shared applications to include Google Sheets, Google Docs, and Google Slides, as well as database systems and applications relevant to the job function. 28. Performs other duties as assigned.
