## Job Title: Accounting / Administrative Assistant Location: Orem, Utah (On-site) Position Type: Full-Time ### About the Role We are seeking a detail-oriented, highly organized Accounting / Administrative Assistant to join our professional team.  In this dual-support role, you will manage daily office operations and perform entry-level financial tasks. This position acts as a vital link between standard administration and bookkeeping, offering an excellent training ground for expanded future responsibilities within the tax and accounting field. ### Core Responsibilities #### Accounting & Financial Support - Accounts Payable/Receivable: Process vendor invoices, issue payments, and accurately track customer balances. - Data Entry & Reconciliation: Record daily transactions and reconcile bank statements using accounting software. - Billing & Invoicing: Prepare and distribute itemized invoices to clients, manage monthly auto-payments, and follow up on overdue accounts. ** ** #### General Office Administration - Communications: Act as a primary point of contact by answering phones, screening calls, and managing professional correspondence via email and mail. - Scheduling: Maintain master calendars and coordinate client and team meetings. - Document Management: Set up, organize, and maintain both digital and physical filing systems (including scanning and photocopying). - Office Logistics: Greet visitors, monitor and order office supplies, and help coordinate office maintenance or special events. ### Required Skills & Qualifications #### Experience & Education - Experience: Minimum of 2 years of relevant professional experience in an administrative or financial support role. - Education: Prefer Associate's or Bachelor's degree in Accounting, or equivalent practical workspace experience. - ***Background Screening: Must be able to successfully pass a comprehensive background check and a drug & alcohol screen.*** #### **Tech**nical Proficiency - Spreadsheets: Advanced, confident knowledge of Microsoft Excel. - Accounting Software: Practical familiarity with QuickBooks (Desktop and Online) as well as Drake Tax (or equivalent professional tax software). #### Core Soft Skills - Attention to Detail: Absolute precision is required to prevent inaccuracies in sensitive financial data. - Confidentiality: Must maintain strict discretion regarding internal financial data and private client information. - Organization under Pressure: Proven ability to prioritize tasks, multitask, and meet strict deadlines during busy periods like tax season. - Communication: Must have exceptional verbal and written communication skills with a professional demeanor.
