Position Summary


Harter Aerospace is seeking a highly organized, customer-focused Accounting & Administrative Assistant to support our accounting and management teams. This role serves as a key point of contact for customers, vendors, and employees while ensuring smooth day-to-day office operations. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced environment where exceptional service and accuracy are essential.


Key Responsibilities


Customer Service & Administrative Support



  • Answer incoming calls and emails in a professional, courteous, and timely manner.

  • Welcome customers, vendors, and visitors while creating a positive and professional experience.

  • Support the management team with administrative tasks, scheduling, and special projects.

  • Assist with employee onboarding activities and new hire documentation.

  • Coordinate company meetings, events, and employee engagement activities.

  • Maintain conference rooms, kitchen areas, and common spaces to ensure a professional workplace environment.


Accounting & Operational Support



  • Reconcile work packages and prepare shipping documents, invoices, and supporting records.

  • Scan, organize, and maintain customer invoices, work packages, and related documentation.

  • Assist with data entry, reporting, recordkeeping, and document management.

  • Support accounting processes by maintaining accurate files and records.


Office Management



  • Manage incoming and outgoing mail, including overnight shipments and courier services.

  • Monitor and maintain office supply inventory and place orders as needed.

  • Coordinate copier and office equipment maintenance and ensure supplies are stocked.

  • Maintain company phone directories and contact lists.

  • Track, reconcile, and reorder promotional materials and branded merchandise.

  • Run occasional business-related errands as required.

  • Perform additional administrative duties and special projects as assigned.


Qualifications


Required Qualifications



  • High school diploma or equivalent required; associate degree in Business, Accounting, or a related field preferred.

  • 2+ years of administrative, office support, customer service, or accounting support experience preferred.

  • Strong verbal and written communication skills.

  • Proficiency with Microsoft Office Suite, including Excel, Outlook, Word, and PowerPoint.

  • Excellent organizational skills with the ability to prioritize multiple tasks and meet deadlines.

  • Strong attention to detail and commitment to accuracy.

  • Ability to work independently while collaborating effectively with cross-functional teams.

  • Demonstrated problem-solving, critical thinking, and decision-making abilities.

  • Professional demeanor with strong customer service skills.

  • Ability to maintain confidentiality and handle sensitive information appropriately.


Preferred Qualifications



  • Experience with ERP systems, preferably Quantum ERP.

  • Experience in aerospace, manufacturing, repair station, or industrial environments.

  • Familiarity with invoicing, shipping documentation, and document control processes.

Physical & Work Requirements



  • Ability to remain seated and work at a computer for extended periods.
