Accounting & Administrative Specialist

Location: Milwaukie

Job Type: Full-Time

About the Role

We are seeking a detail-oriented and organized Accounting & Administrative Specialist to support our leadership team and staff. This role combines accounting, financial reporting, and administrative support to ensure smooth day-to-day operations and overall organizational effectiveness.

The ideal candidate will maintain accurate financial records, assist with reporting and audits, and provide cross-functional administrative support across departments. This position is a key internal resource that contributes directly to operational efficiency and organizational success.

Key Responsibilities

Accounting & Financial Administration

  • Process and track accounts receivable (A/R)
  • Post financial transactions and maintain accurate records in accordance with GAAP
  • Support monthly reconciliations and month-end close
  • Assist with financial reporting, audits, and tax preparation documentation
  • Provide backup support for accounts payable (A/P)
  • Monitor cash flow, account balances, and expenses
  • Ensure strict confidentiality of all financial data

Administrative Support

  • Provide administrative and project support to the CEO and leadership team
  • Create and maintain spreadsheets, reports, and data files
  • Maintain organized filing and documentation systems
  • Support cross-departmental initiatives and projects
  • Coordinate logistics for consumer, industry, and trade events
  • Manage event registration, materials preparation, shipping, and on-site support
  • Assist with program reporting and documentation
  • Provide backup support across administrative and accounting functions

Qualifications & Skills

  • 3-5+ years of experience in bookkeeping, accounting, administration, or related roles
  • Associate's degree or higher preferred
  • Strong understanding of accounting principles (GAAP preferred)
  • Experience with QuickBooks or similar accounting software
  • Advanced Microsoft Excel skills preferred; proficiency in Microsoft Office Suite required
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and deadlines
  • Excellent communication and customer service skills
  • Ability to work both independently and collaboratively
  • High level of professionalism, integrity, and confidentiality
  • Strong problem-solving and decision-making abilities
  • Familiarity with databases and reporting tools

Work Environment

  • Professional office setting
  • Primarily sedentary role
  • Occasional lifting (20-50 lbs.) may be required
  • Occasional travel may be required
