JOB SUMMARY:Under direct supervision of the Finance Manager, the Accounting Assistant performs entry-level accounting duties and provides support to the Finance Department in a non-profit environment. DUTIES AND RESPONSIBILITIES:Receives mail and invoices from the mail room and sort mail for the Finance DepartmentMay assist with general accounts payable duties in the absence of Accounts Payable staff, as requestedMay conduct research & report discrepancies to Finance Manager, as requestedMay assist with reconciling vendor statements and collecting necessary documents from departmentsAssists with annual 1099 form filing,Collects, inputs, and tracks W-9 forms for certain vendors.May assist with creation and maintenance of files, such as accounts payable, vehicles, property and vendor contractorsMaintains a utilities spread sheet on tracking company utility costs.May obtain and report monthly meter readings for copy machinesMay assist with tracking vehicle fleet registration dates and renewalsPerforms company-wide physical inventory counts, including data entry and site visits, as required by funders and agency policies and proceduresScanning and electronic filing of various documents, as requestedMay assist with covering front desk reception, as neededPerforms general clerical duties and support, as assignedProvides general support to the Finance Manager and Finance DepartmentComplies with all Federal, State and Local regulations, including GAAP and OMBOther duties as assigned. EXPERIENCE/EDUCATION REQUIREMENTS:Associates degree in accounting or related field.ORHigh school diploma, and one year accounting experience with a general understanding of accounting principles OTHER REQUIREMENTS:Travel and attend out of area meetings and conferences as required per the funding source(s).Work variable hours and days, including those outside regular Monday through Friday, 8 a.m. to 5 p.m. business hoursMust be able to meet and maintain KCAO hiring requirements which include:Criminal Record Clearance including California DOJ, FBI, Child Abuse Centralized Index (CACI), National Sex Offender Public Website (NSOPW), and the California Sex and Arson Registry (CSAR) (Megan's Law).Reliable, insured transportation and valid Driver LicenseMotor Vehicle Report (MVR) acceptable to KCAO's vehicle insurer.Health examination with tuberculin clearance.Ability to be contacted outside of regularly scheduled work hours in case of emergency.Provide proof of Covid-19 vaccination or medical or religious exemption request form, if applicable.
