Accounting Assistant

Job Summary:

Jet Industries is hiring an Accounting Assistant to support the day-to-day transactional workload across Accounts Payable, Accounts Receivable, and Payroll.  This is a processing and support role: the Accounting Assistant prepares, enters, reconciles, and follows up on transactions.

Essential Duties and Responsibilities:

Accounts Payable:

• Enter vendor invoices into the accounting system, coding them to the correct entity, job, and GL account.
• Perform a secondary double-check of check runs against approved invoices and purchase orders prior to signing and prepare signed checks for mailing.
• Reconcile vendor statements to open AP balances monthly; research and document discrepancies for Accounting Manager review.
• Follow up on outstanding credit card bill payments and vendor payment status.
• Prepare monthly credit card reconciliations, matching statement line items to receipts and coding to the correct GL account.

Accounts Receivable:

• Manage collections: monitor aging, contact customers on past-due balances, and log collection activity.
•  Process AR transactions related to Service Titan, including invoicing and cash application support.
•  Assist with account research and customer billing questions; escalate credit memos, write-offs, and account adjustments to the Accounting Manager for approval.

Payroll & Benefits Support:

• Prepare Certified Payroll Reports (CPRs) and other required payroll compliance reporting.
• Support 401(k) administration, including census data preparation, contribution file support, and enrollment paperwork; submit for Accounting Manager approval prior to funding or remittance.
• Assist with other recurring payroll reporting as assigned.

General:

• Maintain organized, audit-ready documentation for all AP, AR, and payroll support work.
• Support month-end close tasks assigned by the Accounting Manager.
• Other accounting support duties as assigned.

Minimum Qualifications and Experience:

• 2+ years of experience in accounting or bookkeeping support (AP, AR, or payroll); experience spanning
• multiple functions preferred.
• Experience with Vista and ServiceTitan preferred.
• Experience with ADP or other payroll software preferred.
• Working knowledge of Excel is a plus.
• Construction Industry Experience is a plus.
• Familiarity with certified payroll reporting is a plus.
• Associate or bachelor's degree in accounting or a related field preferred.    
• Strong attention to detail and comfort working within defined approval boundaries and controls.
• Ability to manage competing priorities across departments and meet recurring deadlines (check runs, payroll
• cycles, reporting due dates).
• Maintain confidentiality of business, customer, and personnel matters.
• Demonstrate accuracy, thoroughness, and attention to detail.
• Adapt to changes in the work environment.
• Maintain a positive and professional attitude.
• Basic Proficiency in English is required. Candidates must have a basic understanding of English for safety purposes and to communicate with colleagues, vendors, and contractors on-site effectively. The ability to follow instructions and engage with the team is essential for success in this role.

Salary

$20.00 - $25.00 per hour
