Our Administrative Services Organization provides healthcare clients with best-in-class back-office support services, including Accounting and Human Resources. We are known for delivering exceptional client service, maintaining strong client relationships, and providing timely, accurate financial support.

We are seeking a detail-oriented and service-focused Accounting / Finance Assistant to support multiple client accounts while assisting with day-to-day bookkeeping, accounting operations, and financial reporting. This position is ideal for someone who enjoys working in a fast-paced environment, managing multiple priorities, and building strong professional relationships.

Position Summary

The Accounting / Finance Assistant supports Accounting Managers and client accounts through bookkeeping, reconciliations, financial reporting, and administrative accounting functions. This role plays a key part in maintaining accurate financial records, supporting daily accounting operations, and assisting with financial reporting and cash management activities.

The ideal candidate is professional, organized, detail-oriented, and committed to providing exceptional service to both clients and internal team members.

Essential Duties and Responsibilities

Accounting & Financial Reporting

  • Prepare and analyze account reconciliations and supporting client workpapers.
  • Review balance sheet accounts for accuracy and identify discrepancies requiring adjustments.
  • Maintain fixed asset schedules and depreciation records.
  • Assist with cash flow reporting and cash position monitoring.
  • Support Accounting Managers during tax preparation, audits, and financial reviews.
  • Assist with monthly and year-end financial reporting processes.

Bookkeeping & Daily Financial Operations

  • Support daily accounting system operations.
  • Perform bank reconciliations.
  • Process accounts payable and accounts receivable transactions.
  • Record and reconcile ACH payments and cash receipts.
  • Download and update daily bank activity and deposits.
  • Prepare and print client checks for processing.
  • Maintain accurate financial records and supporting documentation.

Client & Administrative Support

  • Build and maintain positive relationships with clients and internal team members.
  • Provide bookkeeping and administrative support to Accounting Managers.
  • Assist in training client administrative staff on accounting systems and procedures.
  • Support the development and maintenance of department procedures and operational documentation.
  • Communicate effectively with clients, vendors, and management regarding accounting matters.
  • Assist with process improvement initiatives and special projects as assigned.

Qualifications

Education & Experience

  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred.
  • Minimum of 2-3 years of accounting, bookkeeping, or finance experience preferred.
  • Healthcare industry experience is a plus.

Knowledge, Skills & Abilities

  • Proficiency in Microsoft Excel and accounting software applications.
  • Strong understanding of accounting principles, bookkeeping procedures, and financial reporting.
  • Knowledge of accrual-based accounting preferred.
  • Strong analytical, organizational, and problem-solving skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to work independently and collaboratively in a team environment.
  • Demonstrated professionalism and customer service orientation.
