Terry V. Aaseby, CPA, PLLC is seeking a dependable and experienced full-time bookkeeper to join our team. This position will manage bookkeeping and related compliance work for a variety of small-business clients. The right person will be comfortable managing multiple deadlines, communicating directly with clients, and taking ownership of their assigned work.
This role requires strong QuickBooks Online skills, a solid understanding of bookkeeping principles, and the ability to recognize when an account or transaction does not look right. Because our clients rely on us to keep their records accurate and current, attention to detail and timely follow-through are essential.
Primary Responsibilities
Client Bookkeeping
- Perform monthly, quarterly, and annual bookkeeping for assigned clients.
- Complete cleanup and catch-up bookkeeping projects as needed.
- Record and properly categorize financial transactions.
- Reconcile bank, credit card, loan, and other balance-sheet accounts.
- Prepare and record journal entries when necessary.
- Manage accounts receivable and accounts payable for certain clients.
- Communicate directly with clients and their vendors to obtain information, resolve questions, and keep projects moving.
- Review financial statements and supporting reports for accuracy and completeness before sending them to clients.
- Identify unusual transactions, discrepancies, missing information, and potential bookkeeping concerns.
- Maintain organized documentation and clear notes regarding completed work and outstanding items.
Sales Tax
- Prepare and file monthly and quarterly sales and use tax returns.
- Pull and review the reports needed to complete each filing.
- Confirm that sales reported in QuickBooks agree with the information used on the return.
- Email clients with draft dates, amounts due, and copies of completed filings.
- Answer routine client questions regarding sales tax filings and payments.
- Record sales tax payments in QuickBooks Online when necessary.
- Monitor filing deadlines and follow up promptly when client information is missing.
Business Personal Property Tax
- Prepare annual business personal property tax listings.
- Gather supporting information from clients and review fixed-asset records for accuracy.
- Submit information requested during county business personal property audits, primarily for Mecklenburg County.
- Communicate with clients and county representatives as needed to complete filings and respond to audit requests.
1099 Reporting
- Request and gather vendor information needed for annual 1099 filings.
- Review vendor records and supporting documentation for completeness.
- Enter recipient and payment information into the filing system.
- Assist with resolving missing or incorrect information before filing deadlines.
Client Support and Training
- Provide occasional QuickBooks training to clients who choose to maintain their own bookkeeping.
- Explain bookkeeping processes and reports in a clear, practical manner.
- Answer routine bookkeeping questions and help clients correct common QuickBooks issues.
- Refer complex accounting or tax questions to the appropriate CPA or team member.
General Responsibilities
- Manage multiple client assignments and recurring deadlines throughout the year.
- Keep project statuses and notes current in the firm's workflow system.
- Follow firm procedures for documentation, review, client communication, and data security.
- Protect confidential client and firm information.
- Work closely with CPAs, the Practice Manager, and other team members to resolve questions and complete client work.
- Assist with other bookkeeping, accounting, and administrative projects as needed.
Required Qualifications
- At least two years of hands-on bookkeeping experience.
- Strong working knowledge of QuickBooks Online.
- Understanding of debits and credits, account classifications, bank reconciliations, balance sheets, and profit and loss statements.
- Ability to review financial records and recognize errors, unusual balances, or incomplete information.
- Strong organizational and time-management skills.
- Careful attention to detail and a commitment to accurate work.
- Ability to manage recurring deadlines and follow through without frequent reminders.
- Strong written and verbal communication skills.
- Ability to communicate professionally with clients, vendors, government offices, and coworkers.
- Comfortable learning and working in several software systems.
- Ability to handle confidential financial and personal information appropriately.
Preferred Qualifications
- Previous experience working in a CPA firm, accounting firm, or multi-client bookkeeping environment.
- Experience with sales tax returns, business personal property tax listings, and 1099 filings.
- Experience performing cleanup or catch-up bookkeeping.
- Experience managing accounts payable or accounts receivable for clients.
- QuickBooks Online ProAdvisor certification.
- Associate or bachelor's degree in accounting, business, or a related field.

The successful candidate will keep assigned client work accurate, organized, and on schedule; communicate promptly when information is missing; provide clients with clear and professional service; and recognize issues that need additional review before reports or filings are completed.
Schedule and Compensation
This is a full-time, primarily in-office position at our Matthews, North Carolina office. Compensation will be based on experience, technical ability, and familiarity with client-based bookkeeping and compliance work.
