Accounting Clerk - Job Description

Position Summary The Accounting Clerk is responsible for supporting the accounting department with daily financial transactions, recordkeeping, and administrative duties. This role ensures accuracy of financial records, timely processing of invoices and payments, and compliance with company policies and procedures.

Key Responsibilities

  • Process accounts payable and accounts receivable transactions.
  • Enter invoices, purchase orders, and payment data into accounting systems.
  • Reconcile bank statements and company accounts.
  • Prepare and post journal entries.
  • Assist with payroll processing and timecard verification.
  • Generate and send customer invoices.
  • Monitor outstanding balances and follow up on past-due accounts.
  • Maintain organized financial records and filing systems.
  • Assist with month-end and year-end closing procedures.
  • Support audits by gathering and preparing documentation.
  • Communicate with vendors and clients regarding billing inquiries.
  • Verify expense reports and receipts for accuracy and approval.

Qualifications

  • High school diploma or GED required.
  • Associates degree in Accounting or Finance preferred.
  • 1-3 years of accounting, bookkeeping, or office administration experience.
  • Basic knowledge of accounting principles.
  • Experience with accounting software (QuickBooks, SAP, Paycom, or similar).
  • Proficient in Microsoft Excel and Microsoft Office.
  • Strong attention to detail and organizational skills.
  • Ability to handle confidential information.
  • Strong communication and problem-solving skills.

Work Environment

  • Office/clerical setting.
  • Monday-Friday schedule; overtime may be required during month-end.
  • Frequent computer and data entry work.
