What You'll Do
As our Accounting & Office Coordinator, you'll be responsible for a variety of accounting and administrative functions, including:
Accounting & Financial Support
- Process and scan invoices, receipts, checks, and supporting financial documents.
- Assist with accounts payable and accounting record management.
- Prepare and reconcile cash deposits for multiple company divisions.
- Maintain company credit card and fuel card records, ensuring receipts and documentation are collected accurately.
- Organize bookkeeping records, disbursements, vendor documentation, and audit support materials.
- Provide invoices to customers and maintain tax exemption certificate records.
- Print and distribute customer statements for multiple locations.
- Assist with financial and administrative projects as assigned.
Office Administration
- Manage incoming and outgoing mail, including FedEx shipments and title documentation.
- Order and manage office, printer, and facility supplies.
- Maintain company phone and extension directories.
- Support company meetings, employee events, and office activities.
Customer & Employee Support
- Welcome visitors and provide professional front-office support.
- Answer and route incoming calls efficiently.
- Assist internal departments with administrative and operational needs.
What We're Looking For
- Experience in accounting support, bookkeeping, office administration, or a related field preferred.
- Strong attention to detail and organizational skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Experience handling financial documents and confidential information.
- Proficiency with Microsoft Office and general business software.
