Position Description

In this role, you will be responsible for ensuring accurate recording and timely payment of site expenses. You'll work closely with both internal and external clients to resolve discrepancies and maintain smooth operations. Your ability to prioritize tasks and meet deadlines will be key to your success.

Responsibilities

• Assemble complete voucher packages including invoices, packing slips, purchase orders, and approvals.
• Research and resolve payment discrepancies and issues proactively.
• Input invoices into QuickBooks with accurate general ledger coding.
• Manage electronic record retention of expense documents.
• Monitor payment schedules and ensure timely payments.
• Reconcile credit card statements and petty cash.
• Ensure all vendors have W9s on file and issue 1099s annually.
• Prepare work papers for monthly sales and use tax payments.
• Manage new vendor setup and credit application processes.

Requirements

• Minimum of 3 years of related experience.
• Strong working knowledge of MS Excel and MS Outlook.
• Detail-oriented, organized, and resourceful.
• Strong oral communication skills.
• Ability to exercise initiative and solve problems innovatively.

Preferences

• Experience with QuickBooks is preferred.
