Job Details

KEY RESPONSIBILITIES AND DUTIES

Process vendor invoices and ensure timely payments in QuickBooks Online (QBO)
Prepare and send customer invoices, upload them into QBO, and monitor accounts receivable
Follow up on overdue/outstanding balances with the internal accounts team
Reconcile vendor statements, credit card statements (Amex, Mastercard, and other platforms), and resolve discrepancies promptly
Maintain accurate vendor records and W-9 forms; assist with annual 1099 processing
Post journal entries and maintain accurate general ledger records in conjunction with the Controller
Assist with monthly account reconciliations (bank, credit card, and balance sheet accounts)
Support the Controller in preparing month-end close documentation and supporting schedules
Ensure proper GL coding of transactions and maintain organized documentation for all financial transactions
Review expense reports for accuracy and compliance with company policy
Generate standard financial reports from QBO and prepare supporting schedules for monthly financial statements
Assist with documentation for audits, tax filings, and compliance checks
Support customer-account maintenance requests and transaction inquiries via internal systems
Handle ad-hoc projects as needed


QUALIFICATIONS
Required (Needed):

Associate degree in Accounting or Finance (Bachelor's preferred)
Minimum 2+ years of experience in accounting or bookkeeping
Proficiency in QuickBooks Online (QBO) and Microsoft Excel
Strong background in accounts payable, accounts receivable, general ledger, and reconciliations
Proven ability to manage multiple priorities and meet deadlines with strong attention to detail and data-entry accuracy
Working familiarity with basic accounting principles and account reconciliations

Preferred / Nice-to-Have:

Experience in a growth-oriented or PE-backed business environment
Knowledge of recurring-revenue models or tech-enabled services
Prior exposure to audits and compliance processes
Ability to work independently and maintain confidentiality
