Role Overview

The Accounts Payable (AP) Specialist is responsible for full-cycle accounts payable

activities and purchase order administration. This role helps ensure invoices are

accurate, payments are processed on time and in accordance with purchasing policies

and procedures, vendor information and documentation are maintained, and AP and PO records remain organized and current.

Responsibilities

  • Manage full-cycle accounts payable functions, including invoice voucher entry and verification against purchasing documents.

  • Prepare accurate and timely weekly payment batches and ensure payments comply with purchasing policies and procedures.

  • Maintain payment schedules, reconcile and review AP aging, and help ensure vendors are paid on time.

  • Contact vendors and contractors to obtain required documentation for invoice and payment processing, including W-9s and payment or banking details.

  • Process employee expense reports and support timely reimbursement of approved expenses.

  • Maintain and update vendor, merchant, and vendor account information as needed, along with organized AP documentation and support records.

  • Review and receive purchase orders, maintain PO records and the purchase order log, and communicate with departments regarding PO status and open balances.

Required Qualifications

  • High level of attention to detail, with the ability to enter data accurately and apply strong mathematical skills.

  • Proficiency in accounting principles and practices.

  • Proficiency with NetSuite and Microsoft Office.

  • Strong organization skills and the ability to work in a fast-paced environment while managing multiple tasks with precision and thoroughness.

  • Effective oral, written, and interpersonal communication skills.

  • Excellent work ethic and dependability.

  • Ability to work both independently and in a team environment.

$65,000 - $80,000 a year
