Position SummaryEl Cortez Hotel & Casino is seeking a highly organized and detail-oriented Accounts Payable Coordinator to join our Finance team. This position plays a critical role in maintaining positive vendor relationships, ensuring timely and accurate payment processing, and supporting the daily financial operations of the property. The ideal candidate is proactive, professional, and comfortable communicating with vendors while managing multiple priorities in a fast-paced hospitality and gaming environment.Accounts Payable FunctionsReview, verify, and process invoices accurately and in a timely manner.Match invoices to purchase orders and receiving documentation.Code invoices to appropriate general ledger accounts.Prepare and process weekly check runs, ACH payments, and other payment methods.Maintain accurate vendor files, payment records, and supporting documentation.Reconcile vendor statements and resolve discrepancies promptly.Assist with month-end closing activities related to accounts payable.Serve as the primary point of contact for vendor inquiries regarding invoices, payments, and account status.Build and maintain professional relationships with vendors and internal departments.Respond promptly and professionally to payment inquiries and requests.Coordinate with department managers to resolve invoice and purchasing discrepancies.Ensure vendors are properly set up and compliant with required documentation, including W‑9 forms and other applicable records.Organization & Administrative SupportMaintain highly organized digital and physical filing systems.Track invoice approvals and follow up with department leaders as needed.Monitor aging reports and prioritize outstanding items.Assist in improving accounts payable processes and workflow efficiencies.Support audits by providing requested documentation and reports.Perform other duties as assigned by the Accounting Manager or Controller.QualificationsAssociate degree in Accounting, Finance, Business Administration, or related field preferred.Minimum 2 years of Accounts Payable, accounting, or bookkeeping experience preferred.Hospitality, gaming, or casino experience is a plus.Strong understanding of accounts payable processes and accounting principles.Proficiency in Microsoft Office, particularly Excel.Experience with accounting and ERP systems preferred.Organization & Attention to DetailExceptional organizational skills with the ability to manage high invoice volume and multiple deadlines.Strong attention to detail and commitment to accuracy.CommunicationProfessional and courteous communication skills with vendors, guests, and team members.Ability to handle vendor concerns diplomatically and efficiently.Time ManagementAbility to prioritize tasks and work independently in a deadline-driven environment.Strong follow-through and accountability.Problem SolvingAbility to identify discrepancies, investigate issues, and implement solutions.Resourceful and proactive in resolving payment and documentation concerns.Physical RequirementsAbility to sit for extended periods while working on a computer.Ability to occasionally lift up to 20 pounds.Ability to work in a standard office environment within a casino setting.DISCLAIMERThis is not actually to include every duty or responsibility of the job nor is it intended to be an all-inclusive list of the skills and abilities required to do this job.
