Schedule: Monday Friday, typically 7: 30 AM 4: 30 PM

About the PositionThe Administrative Assistant provides operational and clerical support to the district s instructional leadership while also handling accounts payable and receptionist responsibilities. This position requires someone who is highly organized, dependable, professional and comfortable managing a variety of administrative and financial tasks.
Responsibilities:
Manage and maintain administrator schedules and department calendars.
Handle accounts payable duties, including processing invoices and maintaining accurate financial records.
Prepare invoices, reports, memos, letters, financial statements and other documents.
Use word processing, spreadsheet, database and presentation software to complete administrative tasks.
Read and review incoming memos, submissions and reports and coordinate their distribution.
Open, sort and distribute incoming correspondence including email and other communications.
Maintain and retrieve school documents, files, records and reports.
Greet visitors, answer questions and direct individuals to the appropriate staff members.
Prepare responses to routine correspondence and inquiries.
Perform general office duties, including ordering supplies, maintaining records and completing basic bookkeeping.
Organize professional development workshops and assist with instructional material orders.
Prepare agendas and coordinate arrangements for committee, board and other meetings.
Make travel arrangements for administrators.
Attend meetings as needed to record, compile and distribute meeting minutes.
Assist with maintaining accurate records related to academic standards and assessments.
Supervise and train other clerical staff as assigned.
Maintain confidentiality regarding students, staff and parents.
Develop and maintain positive, professional working relationships with staff, administration, students and the public.
Follow all district policies, procedures, regulations and ethical standards.
Requirements:
High school diploma or GED required.
Previous administrative, accounts payable, bookkeeping or receptionist experience is preferred.
Strong organizational skills and attention to detail.
Ability to handle confidential and sensitive information appropriately.
Comfortable working with computers, spreadsheets, word processing and other office software.
Strong written and verbal communication skills.
Professional and welcoming demeanor when interacting with visitors, staff and the public.
Excellent attendance and reliability are essential.
Ability to manage multiple responsibilities and complete tasks accurately and on time.
