We are seeking a proactive and detail-oriented Accounts Payable Specialist to oversee the carrier settlement and payment process across our network. This role plays a critical part in ensuring smooth back-office operations; the ideal candidate will take ownership of converting completed loads into accurate, timely carrier payments by understanding the load lifecycle, anticipating potential issues, and ensuring accurate invoice matching and disbursement. This role requires strong attention to detail, problem-solving skills, and the ability to communicate professionally with carriers to maintain positive relationships while ensuring accurate and timely payment.

We are looking for someone with experience in transportation or logistics, but we are open to training the right candidate who is driven, highly organized, and confident in working independently.

Responsibilities:

• Audit and process carrier invoices for accuracy against rate confirmations and load documentation.
• Match invoices to proof of delivery (POD) and bills of lading (BOLs) prior to payment.
• Monitor payment status and ensure carrier invoices are paid within agreed terms.
• Resolve carrier billing discrepancies, including short pays, detention, and accessorial disputes.
• Respond to carrier payment inquiries and maintain positive carrier relationships.
• Coordinate with internal teams (e.g., operations, carrier sales) to ensure invoice accuracy and prevent payment delays.
• Generate reports on aged payables, cash outflow trends, and payment exceptions.

Required:

• Strong attention to detail with the ability to accurately process high volumes of invoices.
• Ability to work independently and prioritize tasks effectively in a fast-paced environment.
• Strong problem-solving skills with a proactive approach to resolving discrepancies.
• Excellent communication skills for coordinating with carriers and internal teams.

Preferred:

• Experience in accounts payable, freight brokerage, logistics, or transportation.
• Familiarity with industry terminology and transportation-related documents (e.g., rate confirmations, BOLs, carrier invoices).
• Prior experience working with Transportation Management Systems (TMS) and payment platforms.

Technical Skills:

• Proficiency in Microsoft Excel and other office applications.
• Experience working with financial or accounting software.
• Ability to learn and adapt to new systems and platforms efficiently.
