Job Description

The Accounts Payable Specialist is responsible for managing the full end‑to‑end accounts payable function with a strong focus on accuracy, compliance, and process efficiency. This role requires advanced proficiency in Workday Financials, particularly the Payables module, and serves as the primary owner of all A/P operations, from invoice processing and payment execution through reporting, audits, and compliance.

Key Responsibilities:

  • Manage the full-cycle accounts payable process, including vendor invoices, purchase orders, employee reimbursements, and miscellaneous payments.
  • Review and approve transactions in Workday and PaymodeX, ensuring accurate coding, approvals, tax treatment, and policy compliance.
  • Process ACH, check, and wire payments and resolve invoice, reimbursement, and payment inquiries.
  • Maintain vendor records, support supplier onboarding, and ensure valid W‑9 documentation for 1099 reporting.
  • Monitor pending transactions and follow up to ensure timely approvals and settlement.
  • Generate A/P reports to support reconciliations, audits, and month‑end close.
  • Prepare and file annual 1099s and maintain audit‑ready documentation.
  • Provide support and guidance to internal users on A/P processes and Workday navigation.
  • Identify opportunities to improve workflows, support training efforts, and collaborate with finance team members.

Qualifications:

  • 5+ years of Accounts Payable or related accounting experience.
  • Demonstrated expertise with Workday Accounts Payable.
  • Experience managing the full A/P lifecycle independently.
  • Strong attention to detail, problem‑solving ability, and organizational skills.
  • Bachelor's degree or equivalent experience.

Preferred:

  • Experience with PaymodeX.
  • Knowledge of fund accounting, GASB standards, or nonprofit financial reporting.
  • Familiarity with additional Workday Financial Management modules.
