Job SummaryAccounts Payable Specialist is responsible for overseeing day‑to‑day accounts payable operations while ensuring accuracy, timeliness, and compliance with company policies. This role serves as a subject‑matter expert and lead point of contact for invoice processing, vendor relations, expense reporting, and month‑end close activities, while also supporting process improvements and mentoring AP staff.ResponsibilitiesReview, verification, and approval of vendor invoices and check requestsEnsure proper coding and accurate entry of invoices into the accounting systemOversee weekly check runs, ACH, and electronic payment processingReview, approve, and resolve employee expense reportsCredit card coding & review of credit card templateReconcile accounts payable transactions and resolve discrepancies promptly, including sales taxMonitor vendor accounts to ensure timely and accurate paymentsMaintain accurate vendor master files and documentationServe as primary point of contact for vendor inquiries and issue resolutionAssist with month‑end, quarter‑end, and year‑end close activitiesSupport audits by providing documentation and responding to auditor requestsPerform additional duties and projects as assignedRequired QualificationsHigh school diploma or GED requiredMinimum of 5 years of progressive accounts payable experienceStrong proficiency with Microsoft Excel, Word, and OutlookSolid understanding of invoice processing, payment cycles, and AP controlsHigh level of accuracy, organization, and attention to detailAbility to manage multiple deadlines in a fast‑paced environmentStrong written and verbal communication skillsAbility to handle vendor interactions professionally and resolve conflictsPreferred QualificationsAssociate or Bachelor's degree in accounting, Finance, or related field7+ years of accounts payable experience in a mid‑ to large‑size organizationExperience with sales tax in multiple jurisdictionsExperience with Microsoft products, Excel; OutlookExperience with ERP or accounting systems (e.g., Oracle, SAP, NetSuite, Workday, or similar)Experience supporting audits and financial close processesFamiliarity with process improvement or AP automation initiativesPhysical DemandsMust be able to effectively communicate, (ie see, hear, speak and write clearly) in order to communicate with colleagues and/or customers; manual dexterity required for occasional reaching, lifting of light office objects, and operating office equipmentWorking ConditionsThe office is clean, orderly, properly lighted and ventilated.
